The Sales & Marketing Coordinator is responsible for driving group sales, coordinating weddings and special events, and supporting the resort's marketing initiatives. This role serves as the primary contact for group bookings and event clients, ensuring exceptional customer service from initial inquiry through event execution. The position also assists with social media management, marketing campaigns, guest communications, and promotional activities to increase resort visitation, revenue, and guest satisfaction.

Success in this role requires strong organizational skills, attention to detail, sales ability, and the capacity to manage multiple projects in a fast-paced hospitality environment.

This is a year-round, full-time in person position.

Job Duties and Responsibilities

  • Coordinate and schedule group visits, ensuring timely communication with involved departments.
  • Proactively acquire new group sales through cold calling, email, marketing, and relationship building.
  • Provide weekly updates to department managers on forecasted group business and project updates.
  • Correspond with group leaders, providing relevant sales products and information.
  • Act as the onsite point person to welcome and organize groups for their mountain activities.
  • Manage group invoices and payments, liaising with accounting for timely processing.
  • Process all sales transactions in-person, via phone/email, and web sales retrieval for groups and weddings.
  • Respond promptly to guest inquiries and ensure excellent customer service.

Marketing:

  • Collaborate with the Calipass Marketing Director and marketing team to support resort marketing campaigns, promotions, and brand initiatives.
  • Assist with planning and executing the social media calendar.
  • Assist with creation and posting of content across social media platforms, while responding to guest messages (inc. email inbox), comments, and reviews.
  • Support the development and distribution of marketing materials, advertising, email campaigns, and promotional content.
  • Assist with website updates and ensure online information remains accurate and current.

Wedding and Events:

  • Coordinate and oversee all aspects of weddings, private events, group functions, and resort-hosted events from initial inquiry through event completion.
  • Prepare and manage event contracts, deposits, banquet event orders (BEOs), waivers, and related documentation.
  • Source, coordinate, and communicate with vendors and service providers to ensure successful event execution.
  • Develop and monitor event timelines, ensuring all deadlines, and client expectations are met.
  • Manage event budgets, track expenses, and support revenue and profitability goals.
  • Coordinate and schedule BEO meetings with the Food & Beverage Department and other operational teams.
  • Serve as the primary point of contact for clients, vendors, department managers, and event stakeholders.
  • Collaborate with Food & Beverage teams on menu planning, service requirements, and event logistics.
  • Recruiting, schedule and training event staff as needed.
  • Maintain event records, databases, social media platforms, and wedding/event website content.
