Roleand responsibilities
The Sales & Production Coordinator assists the division with scheduling projects, tracking progress and expenses, and communicating with other team members, performing various tasks described in more detail below. Reporting to the Branch Manager, the SPC is the “face” of the company, ensuring seamless coordination between sales, operations, and customers to deliver consistently exceptional customer experiences. This role manages sales leads, proposals, scheduling, and invoicing.
The SPC is a critical link between Arbor Advisors, crews, and customers, optimizing operational efficiency and customer satisfaction. They communicate with customers throughout the process, from receipt of the initial lead to invoicing.
As a Sales & Production Coordinator
, you would be responsible for:
- Receive calls from prospective clients, collecting information (contact info, job site location, communication preferences, etc.).
- Assign sales leads to Arbor Advisors based on established sales territories and availability.
- Schedule production crews efficiently based on required equipment, route efficiency, customer urgency, etc.
- Process daily invoices, manage autopay enrollments, and ensure timely invoice delivery to customers.
- Manage and accurately track all clients, contracts, invoicing, expenses, and data management associated with projects in the branch.
- Organizational skills – ability to manage multiple tasks, prioritize deadlines, and adapt quickly (e.g., rescheduling customers due to weather).
- Communication – strong interpersonal skills for customer interactions and cross-team collaboration.
- Computer proficiency – experience with CRM software (Single Ops preferred) and Microsoft Office.
- Problem solving – ability to resolve scheduling conflicts and customer concerns.
- Experience – ideally 2+ years in sales coordination, operations, or customer service. Arboricultural experience is a plus.
