Job Title: Clinical Intake Coordinator

Exempt/Non-exempt: NON-EXEMPT

Immediate Supervisor: Director of Clinical Services

Salary Range:$20 - $25

Essential Functions:

  • Primarily responsible for conducting initial screenings for new clients to determine their needs and eligibility for services. Answer and direct incoming phone calls, ensuring accurate and timely routing to appropriate individuals or departments.
  • Act as the first point of contact for individuals seeking services, providing information on available programs and services. Address any concerns or questions that clients may have during the intake process, offering clarification and assistance as needed. Monitor Intake lists and communicate immediate issues to the Director.
  • Coordinate with various internal departments and external agencies/schools to facilitate client access to necessary services in timely manner. Ensure clients are connected with the resources they need in a timely and efficient manner. Provide ongoing support to clients throughout the intake process, including follow‑up to ensure they are receiving the services they need.
  • Primarily responsible for administrative support such as data entry, scanning documents, managing incoming and outgoing mail, including sorting, distributing, and organizing documents. Welcomes and greets visitors, guests, clients, and employees with a warm and professional demeanor.
  • Order office supplies and ensures appropriate and timely distribution.
  • Assist with new employee onboarding including ordering ’s/ business cards and ensuring all necessary items are provided.
  • Assist with crisis coverage as part of the 24‑hour crisis response system for our Comprehensive Community‑Based Youth Services program (CCBYS) as designated by the Clinical Director. Provide crisis intervention and advocacy services to at‑risk youth with the purpose of family preservation, reunification, and stabilization while promoting healthy environments, lifestyles, and behaviors.
  • Attends community events as required, working evenings or weekends to meet these needs.
  • Provide data and reports as needed in compliance with agency requirements. Adhere to agency policy on confidential mental health records. Prepare reports and case summaries for supervisors, funders, and other stakeholders to track client progress and outcomes.
  • Maintain agency client waitlist, and assist in assignment of clients to staff therapists.
  • Assist in managing urgent or crisis situations, providing appropriate referrals and interventions as necessary. Coordinate with emergency services and community resources when clients are in immediate need of assistance.
  • Perform other duties as assigned.
Knowledge and Ability Requirements:
  • Ability to engage with clients compassionately, understanding their challenges and needs.
  • Knowledge of clinical practices related to working with youth ages 10 to 25, including those who have experienced complex trauma.
  • A commitment to professionalism, flexibility, and continuous learning.
  • Efficiently manage multiple tasks, prioritize intake cases, and handle documentation with meticulous attention to detail and confidentiality. Strong Google Workspace, Canva, and Microsoft Excel skills.
  • Strong verbal and written communication skills to interact effectively with clients, families, and professionals.
  • Ability to assess situations quickly and find appropriate solutions or resources for clients.
  • Understanding and sensitivity to diverse populations and the challenges they face, particularly in underserved communities.
  • Familiarity with local community resources, social services, healthcare programs, and non‑profit networks.
