About The Role: Support a Platform office as the first point of contact for inbound telephone inquiries and office visitors/guests. Receive and relay messages and telephone calls from internal and external sources. Greet guests and visitors, document information, issue security passes, report security issues, and respond to routine inquiries on office locations, hours of operation, telephone numbers, and email/website addresses.

Responsibilities
  • Answer the phone and greet clients and visitors alike in a professional manner.
  • Accurately direct phone calls and walk-ins to appropriate team members in a courteous and professional manner.
  • Return calls placed on hold in a timely manner giving the caller the option to continue holding or to leave a message.
  • Answer client inquiries, as needed, or direct the inquiry to the person best able to answer.
  • Take and deliver accurate phone messages, including names and contact information, and promptly relay messages to the proper person.
  • Maintain a neat and tidy reception area, clearing up any clutter on an ongoing basis and maintain a professional, comfortable general office atmosphere.
  • Open, sort, and distribute the mail neatly and accurately for the agency personnel according to the mail distribution workforce.
  • Process and send outgoing mail and packages for the agency utilizing the mail processing machine as well as appropriate shipping services as needed.
  • Monitor the agency inboxes to distribute incoming emails, voicemails, and faxes to the appropriate team member.
  • Maintain inventory of office supplies.
  • Print, scan, copy and fax documents as needed to assist team members.
  • Perform routine and ad‑hoc support assignments for individuals as needed.
  • Actively seek out and perform other agency support functions and clerical duties as requested or required by others.
Requirements
  • Proven work experience as a receptionist, front office representative or similar role.
  • Proficiency in Microsoft Office Suite.
  • Hands‑on experience with office equipment.
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time‑management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • Able to function independently and as part of a team.
Education/Experience
  • High school diploma or recognized equivalent is required.
  • Experience in customer service or insurance field is preferred.
  • Familiarity with a multiline telephone system.

Candidates should be comfortable with an on‑site presence to support collaboration, team leadership, and cross‑functional partnership.
