Client Service Representative – Veterinary Receptionist

Full Time or Part Time

Rate: $17.00 - $20.35 per hour

Location: Modesto, CA

Description

Sylvan Veterinary Hospital is seeking a full-time or part-time Client Service Representative (CSR) to join our team in Modesto, CA. CSRs are valuable members of our veterinary team, and we treat them as such. As a CSR, you will be the client’s first and last impression of our hospital. It’s important that all clients feel welcome, safe, and comfortable, which is why it takes a special person who can engage with both humans and animals alike with compassion, patience and understanding.

The primary responsibility of a CSR is to be efficient in front‑desk operations while effectively bridging communication between pet owners and our veterinary team. Clients come to us from East Modesto, Riverbank, Oakdale, and throughout Stanislaus County because they know that nothing matters more to us than ensuring the health and happiness of their pets. We have been honored to receive numerous Bee Readers’ Choice Awards, and it shows that our commitment to outstanding care is valued by the Modesto community.

Responsibilities
  • Deliver exceptional customer service to pet owners in a polite and timely manner, both in person and over the phone.
  • Schedule and confirm appointments, maintain records, and provide estimates and invoices for payment.
  • Respond with compassion and empathy in stressful and emotional situations.
  • Maintain a clean, stocked, and orderly lobby and front‑office area.
  • Educate clients on wellness plans, pet insurance, and products sold in the waiting room.
  • Perform opening and closing procedures, end‑of‑day reports, and deposits.
  • Enter client questionnaires, referral information, and other data into the system.
  • Ensure that referral letters and lab results go to the corresponding veterinarians.
  • Admit patients: ensure that each patient is weighed and all information is current.
  • Opportunity to learn Veterinary Assistant skills if desired.
Qualifications
  • Two years of experience in a veterinary setting (or human medical practice), preferred.
  • Minimum two years of customer service experience required (retail, food and beverage, etc.).
  • General computer skills and ability to learn multiple programs.
  • Proficiency with front‑desk equipment (fax machine, credit‑card machine, copy machine, postage meter).
  • Ability to triage patients over the phone or in the waiting room to determine emergency or routine office visit.
  • Excellent communication skills and the ability to problem‑solve.
  • Ability to handle stressful situations and prioritize tasks effectively.
  • Team player with patience and a positive attitude.
  • Must be able to work seated for the majority of the day.
