Overview
Service Master Clean Moncton is looking for a full‑time Administrative Assistant / Bookkeeper to join our office team. The role reports to the Office Manager and performs duties related to invoicing, purchasing, payroll, banking, reporting, account reconciliations, budgeting, and more. Hours are Monday to Friday 10:00am to 3:30pm (extended as needed).
Key Responsibilities- Record financial transactions, such as sales, bank transactions, payroll expenses, and purchases.
- Use accounting and spreadsheet software.
- Reconcile bank statements to company records.
- Process payroll, calculate wages and deductions, manage payroll accrual, ROE, T4s.
- Ensure compliance with tax, payroll, and foreign currency regulations.
- Perform accounts payable duties, including tracking supplier invoices and making timely payments.
- Oversee accounts receivable by creating invoices, tracking payments, and collecting overdue accounts.
- Maintain organized financial records and documentation for audits, quarterly and year‑end.
- File remittances and company filings such as GST/HST, corporate taxes, royalty reporting, and Work Safe.
- Maintain company insurance coverage, including liability, group, automotive, and contractor compliance insurance.
- Provide receptionist support when required.
- Post‑secondary degree or diploma in accounting or general business.
- 5+ years of practical experience.
- Experience with a franchisee model financial system.
- Proficiency with Quick Books and payroll software.
- Advanced knowledge of general accounting principles, reconciliations and budgeting.
- Excellent knowledge of Office
365 (Excel, Word, Outlook, Teams). - Experience with Timekeeping software.
- Experience with Corrigo Pro.
- Experience with Contractor Check procedures.
- Strong team player.
- Well organized and detail‑oriented.
- Excellent communicator.
- Willing to assist in all aspects of the business.
- Must pass a Security Clearance, hold a valid driver’s licence, maintain a reliable vehicle and a clean driver’s abstract.
