Under the general supervision of the Chair of the School of Business and lead direction from the College of Business Senior Administrative Analyst, the Administrative Support Coordinator is responsible for performing a full range of clerical, secretarial, and general office support functions that are varied and complex, and is responsible for coordinating the clerical and administrative support functions in support of the College’s degree programs.
Work is performed independently under general direction to complete related tasks and meet departmental goals.
- Coordinating Academic Program Support:
Coordinate clerical and administrative support functions for a large academic program, assist with planning and executing large‑scale projects, interact with program directors, chairs, deans, and external stakeholders, support planning and implementation of special college‑related events, coordinate with COB Senior Administrative Analyst and PB Scholar Program Coordinator. - Maintenance of Office Infrastructure and Daily Operations:
Serve as liaison with on‑ and off‑campus administrative offices, assist and direct students, staff, and faculty to resources, organize and maintain electronic and physical records and files, maintain office supplies and records, greet visitors, handle correspondence, maintain calendars and schedules, attend meetings, prepare minutes, establish and serve on committees, make independent decisions regarding day‑to‑day operations, manage multiple projects and priorities. - Departmental Travel:
Coordinate and arrange travel, prepare and process travel authorizations, reimbursements, and claim forms, maintain knowledge of travel policies. - Budgets:
Assist with tracking and maintaining spreadsheets and documentation of office budget expenditures, provide budget status reports and projections, maintain documentation for department purchases, verify accuracy of financial documents. - Accreditation and Assessment Project Design:
Assist with designing accreditation databases and reports, work with Chair and Analyst to create frameworks for analyzing assessment data, create surveys and compile results to support curricular initiatives. - Scheduling:
Assist Chair and Analyst in preparing course schedules, maintain databases related to courses and enrollments, coordinate academic advising, prepare materials for orientation and registration. - Student Assistants:
Recruit, hire, train, and provide direction to student assistants; approve hours; establish clerical procedures, controls workflow, and set priorities for assignments.
