The Compliance Specialist ensures compliance with MVF Architectural Standards by conducting property inspections in assigned communities. Responsible for meeting monthly scheduled inspections target, conducting architectural inspections for resale disclosure packets, performing follow-up inspections to determine if violations were corrected, conducting inspections to determine if applications for homes with violations can be released for review, and conducting reported violation inspections. The Compliance Specialist communicates with residents by phone and in person regarding violations on their homes.

Determines necessary course of action needed for violation cases to ensure compliance with MVF Architectural Policies and Guidelines.

Responsibilities include:
  • Uses mobile software to conduct and process scheduled inspections in assigned communities, and meets monthly targets for the number of homes inspected and processed.
  • Conducts all research prior to inspecting homes, ensuring that the external property profile is comprehensive and accurate.
  • Conducts architectural property inspections of home as requested for resale disclosure packets.
  • Conducts architectural property inspections of homes that have been reported to MVF as having architectural violations.
  • While conducting inspections, determines if homes have violations – compares paint colors and external property features to those on the exterior property profile, determines if any modifications have been made to the home without prior approval, and decides if any aspects of the home are out of harmony with the aesthetics of the home and/or community.
  • Following inspections, reviews field notes, exterior property profiles, and homeowner files to determine the appropriate course of action for issues noted in the field – violation, review, or note to homeowner. Ensures each decision is rooted in the community’s architectural criteria and covenants. Consults with AS Director as needed.
  • For new, unapproved, modifications to homes, uses research and judgment to determine whether to charge a review fee.
  • Prepares letters to residents explaining the results of the inspections and corrections that need to be made to bring their homes into compliance. Determines an appropriate correct-by-date for violations for inclusion in letters.
  • Conducts follow-up inspections once correct-by-date has passed for all homes in assigned communities, to determine if corrections were made.
  • When applications for new modifications are received from homes with architectural violations, inspects the home to determine if violations have been corrected and determines whether the application can be reviewed or needs to be put on hold until corrections are made.
  • Maintains all files related to inspections, including in mobile software, in organization’s electronic file storage system, and other applications as applicable.
  • Handles all communications with homeowners and/or their representatives related to the violation cases and takes appropriate action to resolve the case, including granting extensions to correct-by dates and sending reminder letters.
