Talon Hiring Solutions is seeking a detail-oriented full time Administrative Assistant to oversee daily office operations and ensure smooth business functions in the Greater Montgomery, AL area. This role is ideal for someone highly organized, proactive, and able to balance administrative duties with general office responsibilities.

Must have experience and background as an administrative assistant in construction, engineering or architecture setting

What you will do
  • Provide administrative support to principals and senior management.
  • Manage calendars for senior management, including scheduling internal meetings, client meetings, and interviews.
  • Coordinate travel arrangements and prepare itineraries for leadership as needed.
  • Prepare agendas, take meeting notes, and track action items as needed.
  • Draft, format, and proofread correspondence, internal and external.
  • Assist with confidential correspondence, reports, and internal communications.
  • Assist with preparation and organization of project-related documents, including proposals, contracts, and amendments.
  • Assist with compiling qualification packages, resumes, and project data for RFQs/RFPs.
What you will bring
  • Associate’s or Bachelor’s degree, or equivalent administrative experience.
  • 5+ years of experience in an administrative or office support role.
  • Experience in an architecture, engineering, or construction firm preferred.
  • Experience supporting senior leadership or multiple managers simultaneously.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time-management abilities.
  • Friendly and professional demeanor.
  • High level of discretion and confidentiality.
