Job description
Provide administrative support to managers and manage calendars.
Dorval (QC). Company: AAA Canada (mandate for a major player in aerospace).
Start date:
As soon as possible. Type:
Full-time — 3-month temporary assignment to replace an employee on leave. On-site: 5 days per week.
- Manage the schedule and organize travel for the Vice President and their leadership team.
- Coordinate daily activities, determine priorities based on incoming information and schedule meetings.
- Review governance processes and make recommendations to improve efficiency.
- Plan meetings and prepare all necessary materials.
- Participate in projects and prepare required presentations.
- Communicate on behalf of the Vice President and leaders with senior management and various organizations.
- Prepare and consolidate expense reports and other financial documents.
- Draft and prepare various documents (correspondence, reports, memos, etc.) in the required styles and formats.
- Update organizational charts.
- Manage and distribute incoming and outgoing mail.
- Draft internal and external correspondence in French and English.
- Be responsible for budget-related activities as well as special projects, social and recognition activities, and participate actively in them.

- College diploma in office administration, business administration or an equivalent field.
- Minimum of ten (10) years of relevant experience.
- Excellent oral and written communication skills in French and English.
- Strong proficiency with MS Office (Word, Excel, PowerPoint) and Outlook.
- Recognized for teamwork, dynamism, strong interpersonal skills, good judgment and organizational skills.
- Able to assess and manage business priorities in a dynamic, fast-paced environment.
- Project management experience.
- High sense of confidentiality.
- Enjoy managing multiple ongoing assignments.
- Minimum of six (6) years of experience as a senior administrative assistant.
- Corporate environment experience required.
