We’re seeking a proactive, detail-oriented Assistant Workplace Manager to drive seamless daily operations and deliver an exceptional employee experience. This role partners closely with internal teams, vendors, and building management to ensure a safe, efficient, and engaging workplace. The position is based on-site and reports to the Workplace Manager.
Key Responsibilities
Workplace Operations & Experience
Oversee front desk operations, including management of reception servicesSupport employee experience initiatives such as wellness programs, workshops, and in-office amenitiesSupport the Catering & Events Specialist with event execution as needed (set up/tear down of large-scale events)Act as a primary point of contact for employee workplace requests and inquiriesMaintain high standards for office presentation, amenities, and overall environmentAssist with onboarding and offboarding processesProvide ad hoc support to the Catering Team for office food programFacilities & Vendor Management
Occasional flexibility required for on-call support, as well as early morning or evening work related to projects and installations.Coordinate with building management, security, cleaning, and maintenance vendorsManage and track maintenance requests, including HVAC, lighting, and plumbingSupport workplace related construction and renovation projects in partnership with project managersMonitor workplace related budgets and expensesSpace & Workplace Planning
Support office space planning, seating arrangements, and internal movesMaintain accurate space management systems and workplace dataReview capacity and utilization data to optimize workspace efficiencySafety & Compliance
Support emergency preparedness programs, including fire drills and evacuation proceduresAssist with badge access control management and reportingEnsure workplace policies and procedures are up to date and followedAdministrative & Team Support
Provide administrative and operational support to the Workplace teamAssist in developing and improving workplace processes and standard operating proceduresSupport internal communications related to office operations and building updatesContribute to workplace reporting, surveys, and continuous improvement initiativesQualifications
5+ years of experience in workplace operations, facilities, or office managementStrong organizational and multitasking skills with attention to detailDemonstrates strong initiative and proactively identifies opportunities to improve workplace operations and employee experienceExcellent communication and interpersonal skillsAbility to manage multiple priorities in a fast-paced environmentExperience working with vendors and cross-functional teamsProficiency in workplace tools and systems is an asset (Service Now, SharePoint, Slack, Excel, Building Management Ticketing Systems, Access Management Systems, etc.)Bilingual in English/French, with strong written and verbal communication skills.Bachelor’s degree or equivalent higher education qualification
