L’adjoint
· e de direction fournit un soutien administratif stratégique à la direction et coordonne les activités du bureau de Montréal. La personne titulaire joue un rôle clé dans la gestion des priorités, des calendriers, des communications et du suivi des dossiers, en collaboration avec des parties prenantes internes et externes, incluant des représentants gouvernementaux.

Principales responsabilités

  • Gérer de façon proactive les calendriers et prioriser les demandes
  • Planifier et coordonner réunions, événements et déplacements
  • Préparer les documents et séances d’information pour la direction
  • Assurer le suivi des livrables, des échéanciers et des projets
  • Gérer les communications et les courriels au besoin
  • Appuyer la planification budgétaire, le suivi des dépenses et le traitement des factures
  • Collaborer avec les parties prenantes internes et externes
  • Contribuer à l’amélioration continue des processus administratifs
  • Offrir un soutien administratif à l’équipe et encadrer du personnel au besoin

Profil recherché

  • Baccalauréat ou expérience équivalente
  • Minimum de 10 ans d’expérience auprès de cadres supérieurs
  • Maîtrise de Microsoft Office et excellente organisation
  • Jugement, discrétion et capacité à gérer plusieurs priorités
  • Excellentes aptitudes interpersonnelles et sens du service
  • Autonomie, flexibilité et esprit d’initiative
  • Bilinguisme (français et anglais)
  • Expérience dans les secteurs public/privé et perspective autochtone : atouts

Executive Assistant – Indigenous

Hybrid work (3 days on office, 2 remote)

Office location is Downtown Montreal, beautiful building

This is a Federal Crown Corporation

The Executive Assistant provides high-level administrative support to the Executive Leader and coordinates activities for the Montréal office. This role requires a proactive, detail-oriented professional who can manage competing priorities in a fast-paced environment.

Key Responsibilities

  • Manage complex calendars, meetings, and executive communications

  • Prepare briefings and ensure Executives are informed of priorities and commitments

  • Coordinate projects, track deliverables, and support key initiatives

  • Organize travel, events, and logistics

  • Manage expenses, budgets, and invoice processing in line with guidelines

  • Build relationships with internal and external stakeholders

  • Provide backup support and mentor administrative staff as needed

  • Liaise with IT and support office coordination

Qualifications

  • 10+ years supporting senior executives

  • Bachelor’s degree or equivalent experience

  • Strong organizational, communication, and problem-solving skills

  • Strong attention to detail

  • High level of discretion and professionalism

  • Proficiency in Microsoft Office

  • Ability to manage multiple priorities independently

  • Bilingual (French and English) required
