BOOKKEEPER & HR COORDINATOR (PART-TIME). (francais en bas).

Position Summary:

Aqua Spa Nuance and Nuance Medi Spa are seeking an experienced and detail-oriented Bookkeeper & HR Coordinator to support the financial and administrative operations of our growing luxury spa and medical aesthetics businesses. This position combines bookkeeping, payroll administration, HR coordination, reporting, and employee record management.

The successful candidate will work closely with management to ensure accurate financial records, payroll support, employee documentation, and compliance with applicable employment standards and regulations.

Key Responsibilities:

Bookkeeping & Financial Administration:

  • Perform daily cash balancing and reconciliation.
  • Reconcile payment processors, deposits, and banking transactions.
  • Reconcile gift card liabilities and gift card usage.
  • Complete bookkeeping data entry and maintain accurate financial records.
  • Assist with accounts payable and accounts receivable administration.
  • Prepare monthly reconciliation reports and supporting schedules.
  • Support external accountants and management with financial reporting requests.
  • Maintain organized financial records and documentation.

Payroll Administration:

  • Prepare and review payroll information prior to processing.
  • Verify payroll reports for accuracy.
  • Monitor vacation pay, statutory holiday pay, commissions, and payroll adjustments.
  • Assist management with payroll analysis and labour reporting.
  • Liaise with payroll providers to resolve discrepancies and ensure timely processing.

Human Resources Administration:

  • Maintain employee files and HR documentation.
  • Prepare employment agreements, policy acknowledgements, and onboarding documentation.
  • Track employee certifications, licenses, and mandatory training requirements.
  • Assist with onboarding and offboarding processes.
  • Support management with employee correspondence and documentation.
  • Maintain confidentiality of employee records and information.

Compliance & Benefits Administration:

  • Coordinate CNESST-related documentation and follow-up.
  • Assist with workplace injury claims and documentation.
  • Maintain records related to benefits, leaves, and employee status changes.
  • Support compliance with Quebec employment standards and workplace requirements.

Reporting & Administrative Support:

  • Generate payroll, labour, staffing, and operational reports.
  • Assist management with workforce analytics and labour cost tracking.
  • Monitor employee documentation and contract renewals.
  • Identify process improvements to increase administrative efficiency.

Qualifications:

  • Minimum 3 years of bookkeeping experience.
  • Experience supporting payroll and HR administration.
  • Strong knowledge of accounting software and Microsoft Excel.
  • Experience with payroll systems and employee record management.
  • Understanding of Quebec employment standards and CNESST requirements.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage confidential information with discretion.
  • Strong communication and problem-solving skills.

Schedule:

  • Part-time (approximately 15–20 hours per week).
  • Flexible scheduling available.
  • Additional hours may be required during payroll periods or special projects.

Compensation:

  • Competitive hourly compensation based on experience.

Aqua Spa Nuance et Nuance Medi Spa sont à la recherche d’un(e) Coordonnateur(trice) à la comptabilité et aux ressources humaines expérimenté(e), organisé(e) et minutieux(se) afin de soutenir les opérations financières et administratives de nos entreprises en croissance dans les secteurs du spa de luxe et de l’esthétique médicale.

Ce poste combine des responsabilités en tenue de livres, administration de la paie, coordination des ressources humaines, production de rapports et gestion des dossiers employés.

La personne retenue travaillera en étroite collaboration avec la direction afin d’assurer l’exactitude des dossiers financiers, le soutien à la paie, la gestion des documents employés ainsi que le respect des normes et obligations légales applicables.
