Position: Operations Admin II - HR (Dorval)

Job Responsibilities

  • Provide clerical and administrative support to the HR department, including support for the recruitment of package handlers: schedule interviews, monitor compliance checks, support the applicant tracking system, attend job fairs and recruitment events, and communicate with selected candidates.
  • Provide support for the recruitment of non‑package handler staff: prepare interview guides, upload completed interview documents, support the applicant tracking system and provide required drug‑screening kits.
  • Serve as customer service and support for both internal and external customers for HR‑related processes (dock walks, compliance, HR information tables, password resets, etc.).
  • Maintain personnel files for all employees.
  • Review, verify, and process HR paperwork and forms.
  • Generate, compile, and distribute HR reports.
  • Participate in special projects, including job fairs and retention/engagement events.
  • Provide general support to the HR department as needed and maintain confidentiality while performing all duties in accordance with company policies and procedures.
  • Additional operations essential functions: provide clerical support to various management and operational functions (photocopying, filing, faxing, emailing, answering the telephone), review and enter data in various systems, compile reports for management, and serve as frontline customer service to receive, solve, and/or route inquiries and issues.
  • Assist management with Business Control Self‑Assessment (BCSA) audit activity by retrieving data and/or files for review.
  • Quality Assurance/Loss Prevention essential functions: support timely delivery and mitigate loss and damage by performing address searches/corrections, ensuring packages are in good condition, prioritizing workflow to maximize same‑day resolved packages, ensuring appropriate scan statuses, inspecting hazardous materials, ensuring all loose product is accounted for, researching missing packages to understand root causes of scanning failures, compiling information on disputed deliveries, reviewing and trending loss and damaged claims, and bringing improperly charged claims to management’s attention.
  • Additional Linehaul essential functions: review and enter Independent Contractor (IC) settlement information, enter settlement adjustments as directed, compile required documentation for DOT‑required files, verify timely log entry, enter vehicle mileage records, track the IC charge‑back program, complaints, maintenance compliance, and prepare weekly management reports, and serve as initial contact for IC inquiries or issues related to settlement, uniforms, decals, etc.
Minimum Qualifications
  • Minimum Education:

    High school diploma or GED required.
  • Minimum Experience:

    1 year of HR clerical support or related area.
  • Software skills:
    Microsoft Office and web‑based applications.
  • General business skills: typing, data entry and review, phone, copier, and fax use.
  • Ability to follow detailed instructions and operate standard equipment.
  • Customer‑service skills necessary to respond effectively and professionally to requests.
  • Verbal and written communication skills necessary to explain complex and/or confidential information.
  • Time‑management, organization and multi‑tasking skills to work in a fast‑paced environment while maintaining accuracy.
  • Ability to analyze, review, and make recommendations.
  • Must be able to operate in a PC Windows environment, complete mandatory training, and maintain annual accreditations where applicable.
Preferred Qualifications
  • Pay Transparency: pay details for a 6‑month fixed term scheduled Monday–Friday 1:00pm–6:00pm.
Special Requirements
  • If the incumbent resides in Quebec, a bilingual French/English communication ability is required.
  • If the position requires driving, a valid driver’s license (Class5, G, or 1[AZ]) and a driving record with two or fewer violations or accidents within 24 months are required.
  • Candidates for positions that require driving may be assessed through driver competency assessments and other selection criteria.
