Nature Of The WorkThe principal and customary work of an employee in this class of employment consists in performing a variety of administrative duties according to established instructions, methods or procedures and requiring routine decisions relevant to administrative tasks as determined by the administration.
Daily Tasks / Dossiers- Compile data, perform simple calculations and prepare reports.
- Fill out forms, cards, purchase orders, form letters, notices or any other simple documents and forward them as required.
- Take and transfer telephone calls; receive and forward messages and faxes; provide information of a general nature on the telephone or in person; greet and, if necessary, direct visitors.
- Draft notes concerning telephone calls.
- Record answering‑machine messages.
- File documents, books and cards; repair damaged books; carry out the loan of audiovisual documents, equipment and books; if necessary, collect fines.
- Enter texts and various data into a computer from manuscripts or other sources; verify the accuracy of the data or any other data contained on a list or document.
- Supervise premises where aptitude tests are being administered.
- Receive, stamp, sort and file mail, and ensure its distribution; photocopy documents if needed.
- Use a computer and necessary software to perform duties related to word processing, database entry, spreadsheets and in‑house programs; help colleagues with common software and programs used, if required.
- Train new class II office agents.
- Perform any other related duty as needed.
