Role Description The Bilingual Administrative Assistant/Office Administrator is a full-time, on-site role based in Dorval, QC. This position supports daily office operations, including managing reception duties, answering and directing phone calls, greeting clients, and handling email correspondence in both languages. The role involves scheduling appointments, maintaining client files, preparing documents, and assisting with data entry related to immigration cases. The administrator organizes and updates office records, coordinates supplies and equipment needs, and supports executives with calendar management and basic administrative tasks.

The individual collaborates with consultants and other team members to ensure smooth workflow and a professional, welcoming office environment for clients.
Qualifications

  • Strong administrative and clerical skills, including Administrative Assistance and Clerical Skills for managing documents, records, and office workflows.
  • Professional communication capabilities, including Communication and Phone Etiquette for interacting with clients, colleagues, and external partners.
  • Experience providing Executive Administrative Assistance, such as calendar coordination, meeting preparation, and support with confidential information.
  • Bilingual proficiency (spoken and written) in English and French, with the ability to switch languages comfortably in client-facing and internal communications.
  • Proficiency with office software (e.g., word processing, spreadsheets, email, scheduling tools) and the ability to learn new systems quickly.
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced, service-oriented environment.
  • Customer service mindset, cultural sensitivity, and professionalism in handling inquiries related to immigration services.
  • Previous experience in an office or administrative role; experience in legal, immigration, or consulting environments is an asset.
  • High school diploma required; post-secondary education in administration, business, or a related field is an advantage.
