Wealth Sales & Service As a Portfolio Assistant, you will serve as the operational backbone of the team, ensuring smooth day-to-day branch operations and efficient execution of administrative processes. This role is ideal for a detail-oriented professional who enjoys organization, relationship management, and coordinating multiple priorities in a fast-paced financial services environment.

Working closely with advisors, clients, and business partners, you will help streamline operations and support administrative projects within the team.

What You'll Do Administrative & Operational Support Manage calendars, schedules, and meeting logistics to ensure efficient coordination of client appointments and team activities.

Prepare documentation, reports, meeting materials, and client review packages to support financial planning and investment discussions.

Maintain accurate client records and ensure all administrative tasks are completed in a timely and compliant manner.

Coordinate office workflows, monitor deadlines, and help ensure operational excellence across the team.

Organize and maintain work information, files, and documentation to ensure accuracy, completeness, and accessibility.

Support the implementation of strategic initiatives by coordinating deliverables, tracking milestones, and monitoring progress.

Gather, format, and analyze data to prepare regular and ad hoc reports, dashboards, and business insights.

Client Experience & Relationship Management Deliver exceptional service by responding to client inquiries, managing requests, and ensuring client needs are met efficiently and professionally.

Prepare materials and information required for client meetings, annual reviews, and investment-related discussions.

Business Development & Team Support Coordinate marketing activities, client events, and sales materials to support advisor and client engagement.

Identify opportunities to improve processes, service delivery, and operational efficiency.

Monitor business performance metrics and help identify trends, gaps, and best practices to support team objectives.

Risk, Compliance & Governance Ensure all activities comply with regulatory requirements, policies, and procedures.

Support risk management and compliance processes that protect client interests and safeguard bank assets.

Maintain current knowledge of investment products, services, industry trends, and regulatory requirements.

What You'll Bring0-1 year of experience in an administrative, financial services, client service, or operations support role.

Post-secondary education in Business, Finance, Administration, or a related field, or an equivalent combination of education and experience.

Strong administrative, organizational, and time-management skills with the ability to manage competing priorities.

Experience coordinating schedules, documents, client communications, and operational processes.

Excellent attention to detail and a commitment to accuracy.

Strong communication and relationship-building skills.

Analytical thinking and problem-solving capabilities.

Ability to work collaboratively in a team-oriented environment.

Relevant investment industry licensing, where required.
