Purpose / Summary of Position:
The Service Administrator plays a key role in supporting the daily operations of the service department by ensuring efficient workflow, accurate documentation, and exceptional customer service. This position acts as a liaison between technicians, parts, and customers, helping to streamline communication and maintain high levels of customer satisfaction.
Key Accountabilities & Objectives:
Assist technicians with setting up repair estimates, including attaching supporting photos and documentation
Verify parts availability for submitted estimates and coordinate with the parts department as needed
Assist Service Advisors with presenting and selling estimates to customers when required
Check out customers, process payments, and ensure accuracy of final invoices
Provide timely and professional status updates to customers regarding their vehicles
Support Customer Satisfaction Index (CSI) initiatives, including follow-up calls to customers after service visits
Answer and direct incoming service department phone calls in a professional and efficient manner
Assist valet team when required to maintain smooth vehicle flow and customer experience
Maintain organized and accurate records within the dealership management system
Perform other duties as assigned by management
Support overall service department operations and assist team members as needed
Candidate Must Possess:
Valid driver's license and a clean driving record
Minimum of 2 years’ experience in an automotive service and/or parts environment
Experience using ERA-Ignite (Reynolds & Reynolds) is required
Strong organizational and multitasking skills with the ability to prioritize in a fast-paced environment
Excellent communication and customer service skills
Ability to work effectively under pressure and manage multiple tasks simultaneously
Team-oriented mindset with a proactive approach to problem-solving
