Please note that the candidate may be based in Montreal, Toronto or Ottawa.

The role

The Communication and correspondence coordinator provides operational and logistical support to the Corporate Communications team. Reporting to the Manager of Communications and Special Projects, the coordinator helps ensure the smooth management of key processes, including handling public correspondence, coordinating workflows, and supporting the planning and execution of internal and external communication plans.

The Responsibilities
  • Track, prioritize, and monitor inquiries to ensure timely responses and compliance with service standards.
  • Coordinate the preparation of responses in collaboration with the communication advisor and the subject matter experts.
  • Maintain correspondence logs, databases, and reporting tools to monitor inquiry volume, trends, and response times.
  • Assist in developing reports and dashboards on public engagement activities and correspondence metrics.
  • Support the implementation of communication plans related to public outreach, stakeholder engagement, and project updates.
  • Contribute to continuous improvement initiatives aimed at enhancing the public experience and correspondence processes.
  • Assist in the preparation of materials, administrative tasks, and logistics that support internal and external communication initiatives.
  • Support the Corporate Communications team in day-to-day coordination, tracking, and organization of communication activities.
The Requirements
  • Bachelor's degree in Communications, Public Relations, Business Administration or a related field.
  • Minimum of 1 to 3 years of relevant work experience in a similar role involving coordination, communications, or stakeholder relations.
  • Excellent organizational skills to juggle strict editorial deadlines and event schedules.
  • Good copywriting, proofreading, and editing skills.
  • Detail-oriented, well-organized, and able to manage multiple files simultaneously.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Sound judgment, professionalism, and customer service orientation.
  • Ability to communicate complex information in clear and accessible language.
  • Demonstrated initiative, resourcefulness and capacity to adapt quickly when a situation arises.
  • Strong interpersonal skills and a team-oriented mindset.
  • Bilingual in English and French, both written and spoken.
