About the Role
The Documentation Coordinator is responsible for the preparation, control, and verification of repair and recertification documentation (repair databooks) for pressure control and well control equipment. Working closely with Technical Planners and the Quality Assurance Department, this role ensures that all documentation is compiled accurately and in full compliance with NOV requirements, client specifications, and applicable industry standards, including API, DNV, and ABS.
This position is based in Montrose
, supporting local operations while collaborating with global stakeholders to ensure documentation quality, accuracy, and traceability throughout the repair lifecycle.

- Build repair workpacks and databooks from approved standard templates based on defined scopes of work.
- Compile inspection reports, certification, test records, and repair documentation throughout the job lifecycle.
- Maintain accurate document registers, revision control, and file naming conventions within NOV’s Document Management System (DMS).
- Verify completeness and correctness of all referenced documentation (e.g., inspection procedures, parts lists, reports) in accordance with project quality plans.
- Ensure documentation complies with internal procedures, customer requirements, and applicable legislative and industry standards.
- Work in alignment with recognised industry bodies and standards such as API, DNV, and ABS, supporting third‑party inspections and certification requirements where applicable.
- Support Quality Assurance activities, audits, and internal reviews by providing accurate, traceable documentation.
- Carry out all duties in accordance with Quality Assurance procedures and departmental work instructions.
- Contribute to the continuous improvement of quality processes and key departmental activities.
- Assist Technical Planners in preparing project‑specific quality plans and documentation requirements.
- Collaborate with Technical Planning, Quality, Production, and Repair teams to ensure documentation aligns with scope and execution.
- Participate in planning and production meetings to support job progress and documentation readiness.
- Provide regular updates to the Technical Planning Supervisor on documentation status, risks, delays, and improvement opportunities.
- Identify opportunities to improve documentation workflows, templates, and review processes to increase efficiency and consistency.
- Actively participate in the competency development programme and required training activities.
- Experience managing technical documentation within a document control or coordination role.
- Strong attention to detail with the ability to identify discrepancies and ensure document accuracy.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems.
- Strong written and verbal communication skills, with the ability to work effectively across cross‑functional teams.
- Team‑focused mindset with a commitment to standardisation and continuous improvement.
- Ability to quickly identify critical information and respond appropriately.
- HNC/HND in a relevant technical or business discipline (Engineering, Quality, Auditing, or similar) or equivalent practical experience.
- Experience working in a technical, engineering, or repair environment.
- Exposure to pressure control or well control equipment documentation.
- Working knowledge of API, DNV, and ABS standards and their application to inspection, repair, and certification activities.
- Familiarity with quality management systems such as API Q1 and/or ISO 9001.
- Experience with in the Oil & Gas or heavy industrial sectors.
- Collaborative and professional when representing the company internally and externally.
- Proactive communicator willing to engage with global colleagues to ensure quality and consistency.
- Process‑driven and highly organised, with the ability to manage multiple priorities effectively.
