Job OverviewWe are seeking a proactive and detail-oriented Administrative Assistant to support daily operations within a dynamic financial services environment. This is a contract role with the potential to transition into a permanent position based on performance and business needs. The ideal candidate will be a polished professional with excellent communication skills and a strong ability to multitask in a fast‑paced office setting.
Key Responsibilities- Greet and assist visitors and clients in a professional and courteous manner
- Answer and direct incoming calls, take messages, and manage front desk operations
- Schedule meetings, manage calendars, and coordinate appointments
- Prepare and edit correspondence, reports, and presentations
- Maintain organized filing systems (digital and physical)
- Order office supplies and manage inventory
- Support various departments with administrative tasks as needed
- Assist with onboarding new employees and coordinating office logistics
- Proven experience as an administrative assistant or receptionist, preferably in the financial services industry
- Strong organizational and time‑management skills
- Excellent verbal and written communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to handle confidential information with discretion
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
