Overview
The Aging Support Associate will provide a broad range of supportive and administrative assistance to the organization’s Aging & Independent Living Department. The role focuses on caregiver coordination, ADRC backup, filing and tracking paperwork, updating the community resource directory, placing client supply orders, and general office tasks associated with the Area Agency on Aging and Independent Living (AAAIL). Confidentiality of all participants is required.
ResponsibilitiesCaregiver Coordination
- Participate in conference calls and attend Coordinator meetings or trainings as scheduled and requested by DAIL.
- Maintain a waitlist for referrals when applicable.
- Conduct quarterly phone contact/mailings to waitlist individuals.
- Complete new assessments and annual reassessments.
- Maintain participant files.
- Send monthly mailings to program participants.
- Distribute annual respite allocation letter to program participants.
- Input and ensure appropriate participant documentation has been entered into the state data system.
- Monitor participant budgets.
- Review, approve, and distribute respite vouchers.
- Document and purchase participant-requested supplemental supplies.
- Engage with community partners to provide one (1) region-wide annual caregiver training.
- Schedule quarterly region-wide caregiver support group meetings and notify clients and community partners of the schedule.
- Address participant comments/complaints in a professional manner.
- Answer and direct telephone calls.
- Complete Level One screenings.
- Input data into the state data system.
- Maintain accurate call records.
- Ensure ADRC phone line coverage.
- Data entry and record maintenance.
- Updating Gateway Area Development District’s Resource Guide.
- Copying, scanning, faxing, and mailings.
- Creating letters and other business-related documents.
- Maintaining accurate participant files and ensuring confidentiality of sensitive information.
- Scheduling and coordinating meetings, trainings, and/or presentations.
- Preparing reports, forms, and other documentation as needed.
- Assisting with the distribution of outreach and educational material.
- Supporting staff with program compliance documentation.
- Assisting with obtaining background checks for waiver clients’ employees.
- Assisting with the resolution of errors within the waiver Electronic Visit Verification (EVV) system.
- Placing orders for goods and supplies for clients and keeping track of related paperwork.
- Providing general support for the organization’s Aging & Independent Living Department.
Involves any other tasks and technical assistance needed to support the Aging & Independent Living Department.
Physical RequirementsSit for extended periods of time; stand and walk for extended periods of time; reach, stoop, crouch, bend; ability to lift and carry approximately 30 pounds; fine motor skills; and operate a vehicle.

Indoor office conditions; requires intermittent standing, sitting, or stooping; work requires consistent use of computer and phone systems as well as other general office equipment; ability to lift and carry 30 pounds; and frequent interruptions.
