Peak Welcome Center Department Manager
Join Peer Health—part of the WVU Health System—to oversee financial and operational management for our Welcome Center Department.
MINIMUM QUALIFICATIONS- Bachelor’s degree in business or related field.
- OR high school diploma or equivalent AND four years of administrative‑assistant level experience.
- One year of experience in a similar clerical/administrative capacity.
- Supervisory and management experience highly desired.
- Maintain basic financial responsibilities for the Department.
- Supervise financial data including UHA, State, Foundation, and grant funds.
- Develop, with the Chairman and Administrator, the annual budget for charges, receipts, and expenditures.
- Authorize, with the Administrator, all payments by Department—including billings, encumbrances, contracts, travel, and continuing‑education expenses.
- Provide the Department Chairman and Administrator with monthly and YTD financial reports and justify monthly expenditures on Department credit cards.
- Act as Payroll Officer for the Department—monitor all work hours, annual and sick leave, benefits, and termination pay.
- Generate all paperwork necessary for hiring and termination of employees in the Department.
- Delegate and monitor all work functions for support personnel in the Department.
- Coordinate interviews, offers, hiring, onboarding, training, access approvals, reviews, and disciplinary processes.
- Determine and request all accesses and exceptions for WVUH, UHA, and WVU personnel as Rolebase Coordinator.
- Oversee WVUH and UHA staff and faculty Ultimate policies and license verifications as Ultimate Coordinator.
- Coordinate teaching support by non‑professional personnel to produce audiovisual aids, copied material, room scheduling, student scheduling, and attendance records.
- Coordinate various seminars and workshops for continued education of support staff.
- Coordinate special lectureships within the Department.
- Participate in curriculum planning and long‑range planning with the Chairman.
- Maintain responsibility for all University, State, and Federal rules regarding affirmative action.
- Participate in internal management studies to increase Department effectiveness, reduce costs, and improve performance standards.
- Perform institutional duties for the Department.
- Coordinate marketing and special publications such as the Annual Report and quarterly newsletter.
- Attend WVU/WVUH/UHA Leadership meetings.
- Research grant supervision, assign appropriate secretarial and software support to monitor and budget all monies from grants and contracts, and coordinate with University and Federal or other granting agency sources.
- Serve as Expert Business Officer (EBO) approver for the State PCard.
- Prolonged periods of sitting.
- Manual dexterity used in operating standard office equipment.
- Visual strain may be encountered when viewing computer screens.
- May require moving through various areas within the building, requiring use of stairs and elevators.
- Normal office environment.
