We are looking for an enthusiastic and talented Office Operations Manager to join our team. This role is essential to ensure daily office operations run smoothly and efficiently while maintaining an outstanding client experience.
Location:
440 Speedwell Ave, Morris Plains, NJ.
$70,000.00/yr - $80,000.00/yr

- Office Management & Operations:
Oversee daily office logistics, open/close procedures, and maintenance; manage office inventory and vendor relationships; conduct process audits and implement improvements; support leadership with administrative tasks. - Client Experience & Communication:
Serve as first point of contact for clients; provide accurate updates and connect clients with appropriate departments; deliver outstanding customer service in person and by phone. - Team Coordination & Leadership:
Supervise in-office staff and coordinate schedules; support paralegals and attorneys in daily operations; train new hires; monitor staff performance and KPIs; promote a positive workplace culture.
- Required:
- Bilingual (Spanish-English) with fluent verbal and written communication.
- Availability to work Saturdays, when necessary.
- Bachelor’s degree in Business Administration, Management, or related field (preferred).
- Proven experience in office management or similar role.
- Excellent organizational, leadership, and communication skills.
- Strong attention to detail and problem-solving abilities.
- Experience managing teams and handling client-facing responsibilities.
- Proficiency with Google Workspace, Microsoft Office, Slack, , and case management systems (e.g., Camp Legal).
- Commitment to providing exceptional service to clients and supporting immigrant communities.
- Preferred:
- Knowledge of immigration processes, acronyms, and application requirements.
- Ability to multitask and adapt quickly to changing priorities.
- Positive, proactive attitude and a "can-do" approach to challenges.
- Office Management & Operations: Oversee daily office logistics, package handling, opening/closing procedures, and maintenance.
- Maintain a clean, organized, and welcoming workspace for clients and staff.
- Manage office inventory, supplies, and vendor relationships (IT, cleaning, landscaping).
- Conduct process audits and implement efficiency improvements.
- Provide administrative support to upper management for office operations.
- Client Experience & Communication: Act as the professional first point of contact; provide updates and connect clients with relevant departments; ensure exceptional service in person and by phone.
- Team Coordination & Leadership: Supervise in-office staff and coordinate schedules; assist paralegals and attorneys; train new hires; monitor performance and foster a positive culture.
- Competitive Salary: $70,000 - $80,000 annually
