Job Summary

The Admin Assistant provides high-level administrative support to senior leaders by managing complex scheduling, coordinating projects, and handling confidential information. This role ensures executives can focus on strategic responsibilities by overseeing daily administrative operations with professionalism and discretion.

Responsibilities
  • Manage calendars and schedule appointments, meetings, and conferences using internal scheduling systems.
  • Screen and prioritize incoming calls, take messages, and direct communication appropriately.
  • Coordinate special projects, draft memos, transcribe notes, and assist in creating presentations.
  • Prepare reports, manage multiple assignments, and process invoices and expense reports.
  • Draft and organize correspondence, including letters, memoranda, and reports.
  • Handle a wide range of administrative situations and support office operations.
  • Review, sort, and distribute mail.
  • Order and maintain office supplies and inventory.
  • Maintain departmental manuals, records, and filing systems.
  • Assist with budget‑related tasks as needed.
  • Handle confidential and time‑sensitive information.
  • Use judgment, initiative, and experience to support departmental goals.
  • Perform other duties or special projects as assigned.
Required Skills & Experience
  • Minimum 1 year of administrative experience
  • Strong proficiency in Microsoft Office and/or Google Workspace (Google Suite highly preferred)
  • Excellent written and verbal communication skills
  • Strong problem‑solving abilities and critical thinking
  • Highly organized with exceptional attention to detail
  • Ability to prioritize tasks and work independently
  • Demonstrated initiative and ability to perform well in high‑pressure environments
  • Experience managing calendars for multiple leaders simultaneously (preferred)
  • Prior Admin experience in a healthcare setting is a plus, but not required
Education Required
  • High School Diploma, GED, or equivalent
Preferred
  • Associates or Bachelor’s degree
