This position plays a key role in supporting the district’s Business Office by managing purchasing, accounting, and accounts payable functions to ensure accurate, timely, and compliant financial operations. Success in this role looks like consistently processing purchase orders and payments correctly, maintaining well-organized and audit-ready financial records, monitoring department and building budgets, and communicating clearly with staff and vendors. A successful employee is detail-oriented, organized, able to prioritize competing deadlines, and comfortable working both independently and collaboratively in a fast-paced environment.
Overall, this role is essential to the district’s financial health and daily operations, serving as a central point of coordination between the Business Office, schools, departments, and external vendors.
The Purchasing/Accounting Clerk and Accounts Payable (AP) Clerk supports the Business Office by managing the district’s purchasing and accounts payable functions in accordance with established procedures and fiscal standards. This role is responsible for creating purchase orders, processing payments, maintaining accurate financial records, and monitoring department and building budgets to ensure compliance with generally accepted accounting practices and Idaho State Code.
The position serves as a key liaison between the business office, district staff, and vendors, providing training and support related to purchasing processes, budgets, and financial software. With a strong attention to detail and the ability to prioritize competing demands, this role helps ensure timely, accurate financial operations while maintaining a positive and cooperative work environment.
- High school diploma or equivalent, with additional training or experience in accounting principles and practices
- Proficiency in computer applications, including accounting software, word processing, and spreadsheet programs
- Strong verbal and written communication skills to effectively interact with staff, vendors, and the public
- Demonstrated ability to prepare clear and accurate reports
- Ability to understand and carry out oral and written instructions
- Ability to work accurately with attention to detail and minimal supervision
