The Administrative Assistant will support the Sr. Director, Director, and Sr. Leadership team with daily administrative duties and beyond. The ideal candidate will be organized, energetic, proactive, and passionate. The Administrative Assistant will also be responsible for managing the coordination of all internal and external events with seamless planning and execution. This candidate will also manage the day‑to‑day calendar for executives, be able to work under pressure, and have the willingness to go – at times – above and beyond their outlined duties.

- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Manage complex Outlook calendars, prioritizing appointments, avoiding conflicts, and safeguarding executives’ time.
- Schedule and coordinate meetings, including preparing agendas, booking meeting spaces, and capturing meeting notes as needed.
- Arrange domestic and international travel, prepare detailed itineraries, and manage last‑minute changes efficiently.
- Prepare and submit accurate and timely expense reports.
- Maintain organized filing systems, ensuring records and correspondence are easily accessible.
- Draft and distribute professional communications on behalf of executives.
- Plan and execute logistics for onsite and offsite meetings and events, including venue coordination, travel arrangements, catering, and onsite support.
- Demonstrate flexibility to support early, late, or weekend events as required.
- Assist with executive‑led initiatives and special projects as assigned.
- Prepare visually engaging presentations using Microsoft PowerPoint and/or Apple Keynote.
- Research and compile reports, company data, or relevant articles to support executive decision‑making.
- Provide administrative support to the broader executive team as needed.
- Keep the team informed on internal communications and operational updates.
- Collaborate with other administrative assistants and department leaders to align calendars and coordinate cross‑functional activities.
- Manage inventory and order supplies for office and event needs, coordinating with vendors as necessary.
- Serve as the primary point of contact for internal and external event logistics.
- Support onboarding for new team members, ensuring a smooth transition.
- Perform additional administrative duties as required to support team and leadership.
- Bachelor’s degree preferred, or an equivalent combination of education and professional experience.
- 3–5 years of experience in a fast‑paced professional office or corporate environment.
- High proficiency in Microsoft Office Suite - Outlook, PowerPoint, Word, and Excel.
- Strong organizational skills with the ability to multitask, prioritize responsibilities, and meet deadlines under pressure.
- Excellent written and verbal communication skills; able to convey information clearly and concisely.
- Demonstrated professionalism in interacting with executives, staff, and external partners.
- Ability to exercise sound judgment, take initiative, and anticipate needs with minimal supervision.
- Strong interpersonal skills and a team‑oriented mindset with the ability to build relationships across the organization.
- Flexible and adaptable to changing priorities; comfortable working outside traditional business hours when necessary.
