Parish Administrator Position Description OVERVIEWThe Parish Administrator (PA) works closely with the Pastor to manage the day-to-day operations of the parish including areas of office administration, facility management, personnel/staff/volunteer coordination, risk management, and information management. The PA works closely with the Pastor, Finance Director, and Deacons to ensure that the parish’s spiritual, business, and program-related work is accomplished. The Parish Administrator will be a resource person for both members and non-members and a welcoming and responsive presence in our parish office.

35-40 hours/week:
Schedule to be determined in collaboration with the Pastor.
Compensation: $25-35/hour, depending on experience and qualifications, plus vacation
Status:
Full-time, non-exempt
- Education – a bachelor’s degree.
- Experience with:
- Managing other teams and individuals.
- Keeping accurate records using a variety of platforms.
- Organizing events and special projects.
- Serving as a point of contact for various projects and operations.
- Creating work flows and procedures.
- Clear understanding of a business’s daily office operations.
- Ability to be compassionate, firm, and discreet.
- Understanding of the Catholic faith regarding sacramental requirements, consulting Clergy when necessary.
- Ability to move seamlessly between the various tasks of a parish office as needed.
- Basic proficiency with Microsoft and Windows.
- Comfort with learning new software platforms.
- Editorial skills with exceptional grammar and spelling knowledge.
- Experience with parish record systems (PDS, Flocknote, Ministry Scheduler Pro) is a plus.
- Enable a functional system of communication with the parish.
- Maintain and oversee parish records, including membership, sacramental registries, and diocesan reports, keeping them up-to-date and accurate.
- Coordinate and manage the parish calendar to facilitate building use by internal and authorized external groups.
- Assist with managing the parish’s media presence (website, weekly bulletin, Flocknote, etc.).
- Provide a welcoming and helpful presence in the parish office.
- Respond to requests for information and resources via email, telephone, and in-person visits.
- Provide administrative support to the Clergy, Pastoral Staff, and Office Staff as needed.
- Communicate regularly with Pastor, custodial contractor and facilities maintenance team about facilities-related needs, including set-up and clean-up for special events.
- Produce rosters, correspondences, and other documents. Provide editorial support for externally facing media.
- Provide administrative support and organization for special events, including those managed by volunteers.
- Schedule security police coverage and manage security cameras.
- Recruit, train, and manage childcare workers for the Sunday Mass Toddler Room.
- Pursue improvements in workflows, procedures, and operations of all aspects of the management of the parish office and its systems.
- Provide assistance with tracking the liturgical calendar and planning for parish events, as needed.
- Manage liturgical ministry scheduling and educate volunteers on use of the scheduling platform.
- Manage administrative aspects of funerals, including contact with the funeral home and family, scheduling with priests/deacons, preparation of liturgical aids, securing ministerial volunteers, and communication with the staff and volunteers.
- Support Clergy and Pastoral Staff as they meet with families to plan funeral readings and hymns.
