Administrative Assistant needed for a commercial cleaning organization in Mountlake Terrace, WA

Pay Rate: $24 – $27 Per HR

Location: Onsite in Mountlake Terrace, WA

Employment Type: Contract-to-Hire

Schedule: Monday – Thursday, 8:30 AM – 5 PM, Friday 8:30 AM – 4 PM

Our client is a well-established commercial cleaning organization founded in 1984, operating through a large network of independently owned and operated franchise businesses across the United States and Canada. With thousands of franchise locations supported by regional partners, they serve a diverse customer base spanning office environments, healthcare facilities, educational institutions, and industrial and manufacturing settings.

As the Administrative Assistant
, you will provide essential support to daily office operations, serving as a key point of contact for internal teams, clients, and vendors. This role is responsible for managing front desk and administrative functions, coordinating communications, maintaining organized records, and supporting customer service and light bookkeeping activities. The ideal candidate is highly organized, detail-oriented, and professional, with the ability to manage multiple priorities in a fast‑paced environment while contributing to a positive and efficient workplace.

Essential Duties and Responsibilities
  • Oversee front desk operations, providing a welcoming experience for visitors and handling incoming calls with professionalism and courtesy.
  • Receive, process, and distribute incoming and outgoing communications, including phone calls, emails, mail, and other correspondence.
  • Maintain well-organized digital and physical filing systems, ensuring document confidentiality and efficient retrieval.
  • Monitor office supply levels and coordinate orders as needed, while ensuring office equipment is properly maintained and operational.
  • Support general administrative functions such as data entry, scanning, copying, and the preparation of documents, reports, and presentations.
  • Serve as a key point of contact for customer and vendor inquiries, delivering timely, professional, and friendly support.
  • Process orders for consumable products for an existing customer base.
  • Communicate with clients regarding invoices and payments, resolving discrepancies or escalating issues when appropriate.
  • Foster strong client relationships through consistent, positive, and effective communication.
  • Assist with accounts payable and accounts receivable activities, including invoice preparation, payment processing, and accurate recordkeeping.
  • Other duties as assigned.
Qualifications
  • High School Diploma or Equivalent (Required)
    • Associate's Degree or Certification in Business Administration or Accounting preferred
  • Proven experience in administrative support, office management, or customer service roles
  • Proficient in Microsoft Office applications (Word, Excel, Outlook), CRM platforms such as ACT! or similar systems, with a working knowledge of accounting software; experience with Quick Books is preferred.
  • Strong organizational and time‑management abilities, with the capacity to manage multiple priorities efficiently in a fast‑paced environment.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and accuracy, particularly when handling confidential or sensitive information.
  • Ability to work independently with minimal supervision while also collaborating effectively within a team environment.
  • Professional, dependable demeanor with strong analytical and problem‑solving skills.
