• Factory Completion & Shipment Monitoring
• Monitor factory completion status on a daily basis and identify materials that are ready for shipment.
• Prepare and maintain a daily list of shipment-ready materials/projects.
• Coordinate with Senior Logistics Coordinators to determine the shipment priority and required next actions.
• Follow up on pending shipment requirements and highlight potential delays or risks at an early stage.
• Customer Shipment Confirmation
• Coordinate with Senior Logistics Team members to obtain the necessary customer confirmation to move the shipments on timely manner
• Follow up on pending customer confirmations and ensure responses are received within the required timeline.
• Communicate shipment readiness and relevant details to the concerned stakeholders.
• Escalate delayed customer confirmations that may impact the planned shipment date.
• Ensure customer requirements are clearly understood before proceeding with shipment arrangements.
• Vendor / Freight Forwarder Coordination
• Coordinate with nominated logistics vendors, freight forwarders, and transport providers for shipment arrangements.
• Share the required shipment information with vendors and follow up on booking and pickup arrangements.
• Coordinate pickup schedules based on factory readiness and customer requirements.
• Follow up with vendors to ensure shipments are collected and moved according to the agreed schedule.
• Monitor shipment progress and proactively follow up on any delays or exceptions.
• Maintain effective communication with vendors to ensure smooth shipment execution.
• Incoterms & Shipment Execution
• Coordinate shipments in accordance with the agreed customer Incoterms and commercial terms.
• Understand the basic logistics requirements associated with different Incoterms and ensure the correct party is engaged for shipment arrangements.
• Verify that the shipment method and responsibility are aligned with the agreed terms.
• Coordinate with the relevant internal teams whenever clarification is required regarding shipment responsibility or freight arrangements.
• Ensure shipments are dispatched according to the agreed delivery requirements and timelines.
• Shipment Documentation
• Support the preparation and collection of required shipping documents.
• Coordinate with the Factory, Customer, and Logistics Vendor to ensure documentation is available before shipment.
