Location:

Chembur, Mumbai
Role:  Front Desk Administrative
Working Days & Timings:  Monday – Saturday (2nd & 4th Saturdays WFH) | 10 AM – 7PM
Experience- 1-2 Years

Key Responsibilities:

1. Office Operations & Staff Supervision
Manage and supervise office support staff to ensure smooth and efficient day-to-day operations.
Oversee front-desk activities, welcoming visitors, handling incoming calls, and directing inquiries to the appropriate personnel in a professional manner.

2. Inventory & Supplies Management
Maintain stationery inventory and stock records, including monitoring stock levels and arranging replenishment as required.
Oversee pantry operations, including managing supplies, ensuring cleanliness, and coordinating effectively with pantry staff.

3. Vendor & Facility Management
Coordinate with vendors and service providers for office-related requirements, services, and supplies, ensuring competitive pricing and timely service delivery.
Monitor housekeeping activities and ensure that high standards of cleanliness and hygiene are consistently maintained throughout the office premises.
Manage meeting and conference rooms, including ensuring proper setup, cleanliness, and the availability of required technical and physical facilities.

4. Administrative & Financial Coordination
Handle and process bills and invoices, ensuring proper documentation, verification, and timely submission for payment processing.
Manage petty cash transactions, maintain accurate records, and ensure proper supporting documents and receipts are available for all expenses.

5.Executive Assistant to Directors

– Key Responsibilities
Calendar management:  Own the Directors' schedules, prioritise meetings, and resolve conflicts.
Travel management:  Plan and book domestic and international travel, accommodation, and itineraries.
Meeting coordination:  Prepare agendas and briefing notes, take minutes, and track action items to closure.
Correspondence and documentation:  Draft emails, reports, and presentations, and handle confidential information with discretion.
Stakeholder liaison:  Act as the point of contact between the Directors, internal teams, and external partners.

Qualifications & Skills
High school diploma or equivalent; a Bachelor’s degree in Business Administration or a related field is a plus.
Proven experience working as a Receptionist, Office Assistant, or in a similar administrative role. Exceptional verbal and written communication skills.
Strong organizational, multitasking, and time-management abilities.
Proficiency in MS Office (Word, Excel, Outlook) and basic office equipment handling.
Basic financial acumen for handling invoices and petty cash.
Professional demeanour with a strong customer-service orientation.
