Overall purpose:
Reporting to the Dean of School, The Academic Coordinator plays a significant role in supporting student engagement, communication, attendance monitoring, administrative processes, and operational activity across the school. Their responsibilities will also include supporting growing student numbers, enhanced monitoring requirements, partnership provision, and broader student support processes.

The Academic Coordinator plays a significant role in supporting student engagement, communication, attendance monitoring, administrative processes, and operational activity across the school.
Responsibilities
Responding to student queries via MS Teams, email, and CRM systems.
Conducting follow-up calls with students regarding submissions, resubmissions, re-enrolment, and other student-related matters.
Contacting students to confirm meeting attendance and availability where required.
Sending communications to students as requested by the Head of Student Success & Academic Support.
Managing and resolving student queries through CRM systems. Ensure that all timetable changes are communicated, and all room booking requests are accurately recorded where required.
Student Meetings and Support
The team coordinates and supports a range of student support meetings and interventions, including:
PAT Stage 2 attendance concern meetings for students with significant non-engagement.
1:1 Session for students with PAT/PL.
Withdrawal meetings.
Suspension meetings.
Arranging meetings between students and relevant stakeholders, including Programme Leaders, Personal Academic Tutors (PATs), Registry Officers, and Student Finance Officers, to support students through formal processes and ensure they understand implications and next steps.
Student Engagement Monitoring System (SEMS)
The Academic Coordinators also contribute significantly to the Student Engagement Monitoring System (SEMS) process through:
Conducting SEMS meetings for high-risk students, including those with low attendance, approved absences, or wellbeing concerns.
Recording actions, remarks, and recommendations arising from meetings.
Undertaking follow-up activities with students in line with agreed support plans and interventions.
Academic Misconduct
The Academic Coordinators support the Academic Administrator with academic misconduct processes, which have increased significantly due to a rise in AI-related cases during the current academic year.
Key responsibilities include:
Communicating with students regarding academic misconduct meetings and outcomes.
Coordinating meeting arrangements and attendance confirmations.
Supporting the administration, tracking, and documentation of cases.
Managing follow-up actions and related student correspondence.
This increase in referrals has added a significant administrative workload and further expanded the operational responsibilities of the Academic Coordinator team.
Shifts
To work as per the UK timings.
To work on all UK operating days.
Key Performance Indicators (KPIs)
Effective use and management of CRM systems.
Timely monitoring and follow-up of student submissions and resubmissions.
Demonstration of punctuality, professionalism, discipline, and effective working relationships.
Consistent quality, accuracy, and efficiency in work processes and outputs.
Effective management and completion of SEMS processes.
Timely scheduling and delivery of student meetings as required.
