Department:  Academic Administration
Role Summary
The Academic Administrator will be responsible for coordinating academic operations, with a primary focus on faculty scheduling, timetable management, and ensuring the smooth execution of academic activities across schools and programmes. The role requires close collaboration with faculty, programme teams, and other administrative departments to ensure efficient academic planning and delivery.

Key Responsibilities
Faculty Scheduling & Timetable Management
Prepare and manage faculty teaching schedules across programmes.
Develop and publish class timetables in coordination with Schools and Programme Offices.
Ensure optimal faculty workload allocation and classroom utilization.
Incorporate schedule revisions and communicate updates promptly to all stakeholders.
Academic Operations
Coordinate the smooth conduct of lectures, practical sessions, workshops, and other academic activities.
Support semester planning, course registrations, and academic calendar implementation.
Coordinate with faculty and departments to ensure timely completion of academic deliverables.
Faculty Coordination
Act as the primary point of contact for faculty regarding schedules, classrooms, and academic logistics.
Coordinate onboarding and scheduling requirements for visiting and adjunct faculty.
Maintain faculty teaching assignments and workload records.
Academic Records & Documentation
Maintain accurate academic records, schedules, attendance data, and related documentation.
Generate periodic reports on faculty workload, timetable utilization, and academic operations.
Student & Department Coordination
Address timetable-related student queries and coordinate resolution with relevant departments.
Liaise with Schools, Programme Offices, IT, Facilities, and Examination teams for seamless academic operations.
System Management
Update and maintain academic schedules and faculty information in the University's ERP/LMS.
Ensure data accuracy and timely updates across academic systems.
Continuous Improvement
Recommend process improvements to enhance scheduling efficiency and academic administration.
Support accreditation, audits, and institutional reporting by providing academic data as required.
Qualifications & Experience
Bachelor's or Master's degree in any discipline.
3–6 years of experience in academic administration, preferably in a higher education institution.
Experience in faculty scheduling, timetable planning, or academic operations is preferred.
Skills & Competencies
Strong organizational and coordination skills.
Excellent planning and time management abilities.
Proficiency in Microsoft Excel, Word, and academic ERP systems.
Strong communication and interpersonal skills.
Ability to manage multiple priorities in a fast-paced academic environment.
High attention to detail and accuracy.
Problem-solving and stakeholder management skills.
