Job Description
The role is responsible for providing comprehensive administrative and executive support, ensuring the efficient coordination of daily business activities. Key responsibilities include planning, monitoring and prioritizing of requests, activities and information coming to the President’s office. The candidate must ensure that President’s time is used efficiently and effectively by managing calendars, coordinating domestic and international travel arrangements, scheduling and organizing internal and external meetings, preparing meeting agendas, documenting Minutes of Meeting (MoMs), drafting correspondence, screening visitors, and handling a wide range of office management and administrative tasks.
In addition, candidate must review and vet briefs, reports, talking points to ensure it is to the appropriate standard and provides sufficient details. The ideal candidate will have demonstrated experience in delivering high‑quality administrative and executive support within a dynamic business environment. This role requires exceptional organizational and time‑management skills, the ability to work independently with minimal supervision, and the flexibility to adapt to changing priorities and anticipate requirements.
The role also requires attention to detail and the ability to draft succinct reports and briefs. The successful candidate will demonstrate a high level of professionalism, discretion, and confidentiality while interacting effectively with stakeholders at all levels. A proactive mindset, strong attention to detail, resourcefulness, and the ability to manage multiple priorities under pressure are essential for success in this role.
The individual should also possess excellent communication and writing skills and a positive, collaborative approach to supporting business objectives.
- Support the President’s day‑to‑day activities including planning, organizing, monitoring of his/her tasks and actions and maintaining a priority and tracker list.
- Manage the Country President’s calendar, meetings, and daily priorities.
- Coordinate and schedule internal and external meetings, including agendas, briefing materials, reports, presentations, and MoMs.
- Serve as the primary point of contact for internal and external stakeholders.
- Ensure the President is well prepared well in advance for meetings through briefing meetings, reports and or/briefing notes.
- Maximize the effective use of the Bp Oman President’s time by ensuring issues are well-prepared and appropriately prioritised.
- Prepare high‑quality briefing packs, presentations, speeches, and other materials to support internal and external engagements.
- Handle confidential and sensitive information with professionalism and discretion.
- Support the Bp Oman President in managing commitments, deadlines, and business priorities.
- Coordinate domestic and international travel, including itineraries, logistics, and expense reporting.
- Arrange travel and logistics for teams and visiting BP executives.
- Monitor and prioritise correspondence, requests, and information flow to the executive office.
- Maintain effective filing systems, office administration, and operational support.
- Collaborate with Team Assistants to provide cross‑functional support and holiday cover.
- Track and coordinate key actions, initiatives, and deliverables to ensure alignment with business priorities.
- Anticipate business needs and proactively resolve administrative and logistical challenges.
- Act as point of contact for President’s ad‑hoc requests.
- Only Omani nationals.
- Minimum 8 years’ experience providing executive administrative support to senior leaders.
- Excellent written and verbal communication skills.
- Strong organisational, planning, and prioritisation skills with the ability to manage multiple tasks and deadlines.
- Proven ability to work independently, exercise sound judgement, and handle confidential information with discretion.
- Demonstrated ability to anticipate business needs and proactively resolve issues.
- Strong analytical skills with the ability to quickly assimilate information and support decision‑making.
