Job Description – Faculty Administrator
Reporting to

Dean/Director of Academic Faculty
Summary:
The Faculty Administrator at the Academic Faculties in Muscat University is expected to perform administrative tasks to support the academic faculties in planning, coordinating, and implementing activities. The position requires collaboration with staff, students, and the industry, and responding to work requests from other departments in a timely and accurate manner.
Duties& Responsibilities
1.Prepare, maintain, and distribute meeting materials,business presentations, and other department files, and ensure quality documentation is available.
2.Ensure that the website and the quality management system portal of the department are up to date.
3.Support the organisation of field trips and other faculty-related special events like job fairs, promotion events, information sessions, student inductions, etc.
4.Assist in budget preparation, procurement, and other expense management activities.
5.Perform data collection for quality assurance and other external bodies.
6. Provide first-level support in advising by providing required documents, guidelines, and setting appointments between advisers and students at risk.
7. Manageday-to-day administrative operations of the faculty, including documentation,scheduling, and internal communication.
8. Assistthe Dean, Assistant Dean, and academic staff in coordinating teaching schedules, examinations, meetings, and faculty activities.
9. Actas a point of contact for students, faculty members, and external stakeholders regarding administrative matters.
10. Maintain accurate records of faculty operational plan, activities, reports,correspondence, and academic documentation.
11. Organize faculty meetings, workshops, seminars, and academic events, including preparation of agendas and minutes.
12. Support the preparation of reports and ensure compliance with university policies,accreditation requirements, and regulatory bodies.
13. Coordinate with other university departments such as HR, Registry, Finance, and IT to facilitate faculty operations.
Qualifications for Department Coordinator
- Bachelor’s degree in arelated field.
- Works independently and with minimum supervision
- Trustworthy and can handle confidential documents
- Excellent communication skills in English and Arabic
- Proficient in the use of Microsoft Office.
