Position: Front Office / Receptionist at KARVE Fitness Studio

Job Overview

The Front of House team at KARVE plays a vital role in delivering an exceptional client experience. As the first point of contact, you will set the tone for every visit, ensuring a warm welcome and a smooth, seamless journey through the studio. You will support day-to-day front desk operations, manage client flow, assist with studio logistics, and uphold the high standards that define the KARVE brand.

We are seeking a friendly, organised, and client-focused Front of House team member to be the face of our Transformer Pilates studio.

In this role you will be responsible for greeting clients, managing bookings, answering questions about classes and memberships, preparing and offering beverages, selling retail products, and ensuring the studio always looks immaculate. The ideal candidate has excellent communication skills, a passion for fitness and wellbeing, and a natural ability to create a positive and memorable experience for all members and guests.

Key Responsibilities Customer Service
  • Greet all clients and visitors with a warm, friendly and professional demeanor.
  • Assist clients with check-ins, bookings, cancellations and maintain accurate records.
  • Provide exceptional customer service by answering inquiries about classes, membership options, instructors, schedules and studio amenities.
  • Handle client requests, concerns and feedback, ensuring a positive experience from arrival to departure.
  • Assist in resolving any client issues or complaints in a professional and timely manner.
  • Respond promptly and professionally to emails, Whats App messages and phone calls.
  • Promote special offers, workshops or events happening at the studio.
  • Distribute rewards for clients when they reach certain milestones and assist the Studio Lead with making a list of loyal clients and organising rewards events for them.
Bookings and Sales
  • Manage class and private bookings, cancellations and waitlists using the studio's booking system and any other method of correspondence.
  • Process new memberships, renewals and class packages.
  • Engage with clients if their payments fail, etc.
  • Handle payments for classes, memberships, retail and F&B products.
  • Maintain accurate client records, updating details as necessary in the system.
  • Promote membership packages, class bundles and studio merchandise.
  • Upsell additional services or products to clients as appropriate.
  • Support studio events and marketing initiatives, including outreach and promotions.
Studio Operations
  • Complete opening and closing procedures in line with the company health and safety policy.
  • Ensure the reception area and studio are prepared for the day's classes – clean towels, water station and supplies.
  • Coordinate with instructors and other team members to ensure seamless transitions between classes.
  • Assist with light cleaning and tidying of common areas between classes, tidy up toilets and showers, ensuring amenities are fully stocked.
Cafe Duties
  • Make, sell and promote cafe items including coffees, shakes and packaged snacks.
  • Handle payments, process transactions and issue receipts through Momence and Lightspeed.
  • Continue to improve basic barista skills with training provided.
  • Maintain an organised cafe area in line with food standards.
  • All products are fully stocked on display and a daily stock check is conducted, communicating when cafe products, amenities and merchandise are low.
  • Close communication with Studio Leads to ensure smooth running of studios.
Preferred Skills and Requirements
  • Previous experience in front-of-house, customer service, hospitality, or café roles (barista experience preferred) in fitness, wellness, or boutique studio environments.
  • Strong organisational and multitasking abilities.
  • Outstanding communication and interpersonal skills.
  • Tech-savvy and comfortable with booking systems (Mind Body, Momence, Lightspeed experience is a bonus).
  • Ability to thrive in a fast-paced environment with multiple priorities.
  • Passion for fitness, Pilates and wellness.
  • Sales and upselling experience.
