2. Position Purpose

The Alumni Specialist is fully responsible for the planning, implementation, coordination, and day-to-day management of the University’s alumni relations function
.

The role focuses on building and sustaining strong relationships with alumni, enhancing alumni engagement, supporting institutional reputation, and maintaining accurate alumni records, in line with University policies and accreditation requirements.

3.

Key Responsibilities 3.1 Alumni Engagement & Relations
  • Plan, develop, and manage alumni engagement initiatives and programs.
  • Build and maintain strong relationships with alumni locally and internationally.
  • Act as the primary point of contact for alumni engagement matters.
  • Promote alumni participation in University activities, events, and initiatives.
3.2 Alumni Events & Activities
  • Plan and organize alumni events, reunions, networking sessions, and institutional engagement activities.
  • Coordinate alumni participation in mentoring programs, guest lectures, panels, and advisory roles.
  • Support alumni involvement in University ceremonies and official events.
  • Develop and manage alumni communication channels, including newsletters, emails, and digital platforms.
  • Coordinate alumni outreach campaigns in collaboration with Marketing and Communications.
  • Ensure consistent and positive alumni messaging aligned with institutional values.
3.4 Alumni Data & Records Management
  • Maintain and update accurate alumni databases and contact records.
  • Track alumni engagement, participation, and contribution indicators.
  • Ensure data accuracy, confidentiality, and compliance with institutional policies.
3.5 Partnerships & Institutional Support
  • Support engagement with alumni for partnerships, collaboration opportunities, and institutional initiatives.
  • Coordinate alumni contributions to institutional development, fundraising support (where applicable), and community engagement.
  • Maintain records of alumni partnerships and contributions.
3.6 Reporting, Quality Assurance & Compliance
  • Prepare alumni engagement reports, summaries, and performance data for management review.
  • Maintain documentation and evidence for accreditation reporting
    .
  • Monitor alumni-related KPIs and recommend improvement actions.
  • Ensure all alumni activities comply with University policies, procedures, and codes of conduct.
4. Authority & Decision-Making
  • Operates with full operational responsibility for alumni relations activities within the approved scope.
  • Has authority to plan and implement alumni activities in line with approved procedures.
  • Has no independent financial approval authority beyond approved limits.
  • Recommends initiatives, improvements, and corrective actions to the Manager.
  • Financial authority strictly as defined in the Delegation of Authorities Matrix and approved Financial Policies.
5. Key Performance Indicators (KPIs)
  • Alumni participation and engagement levels.
  • Number and quality of alumni events and initiatives delivered.
  • Accuracy and completeness of alumni records and databases.
  • Alumni satisfaction and feedback.
  • Compliance with documentation and accreditation requirements.
6. Qualifications
  • Bachelor’s degree in Communications, Public Relations, Business Administration, Social Sciences, or a related field.
7. Experience
  • Minimum 3 years of relevant experience in alumni relations, stakeholder engagement, communications, or higher education administration.
  • Proven experience in independently managing engagement initiatives or events.
  • Strong relationship-building and networking skills.
  • Excellent communication and interpersonal skills.
  • High level of ownership and accountability.
  • Strong organizational and coordination skills.
  • Ability to work independently and manage multiple initiatives.
