Role Purpose The Project Coordinator – Duke Point Expansion Project (the Project) is responsible for providing coordination and administration support through the full life cycle of the Project. This is a site‑based position at 750 Jackson Road, Nanaimo, and includes supporting the Project Team through initiation, planning, execution, monitoring and controlling, and closure of the Project.
Key Responsibilities Provide site-based coordination and administration support throughout the Project life cycle.
Support the Project Team through initiation, planning, execution, monitoring, controlling, and closure.
Coordinate and schedule meetings, take minutes, organize action items, and ensure completion through follow‑up.
Provide document control support for the Project.
Prepare submissions, reports, and presentations to facilitate approvals and delivery, coordinating input from team members, editing, proofing, and formatting documents.
Liaise internally with terminal operations, technology, safety, and security groups to align on project performance and technical requirements.
Prepare RFQ and RFP documentation and participate in evaluation, contract agreement, and coordination of consultants and contractors.
Coordinate site investigations, topographic surveys, and other pre‑construction contracts with contractors and terminal operations.
Coordinate construction activities between contractors and terminal operations and conduct quality, safety, and environmental inspections.
Assist with the preparation of project progress and cost tracking reports.
Develop project scheduling, budgeting, and progress reports.
Forecast project goals and completion.
Monitor project activities (risks, contracts, budget, and schedule).
Suggest and manage changes in project processes.
Knowledge & Qualifications A university degree related to civil engineering, construction management, or a related discipline, along with a minimum of 3 years of site experience on marine works projects is preferred.
Demonstrated major project experience related to planning, permitting, procurement, engineering design, construction supervision, commissioning, and contract administration of marine infrastructure projects with construction values greater than $50m.
Superior organizational and communication skills.
Outstanding computer skills including experience using Microsoft Project, document control systems, and drafting software.
Fluent in English.
Previous Canadian work experience or experience working directly with Canadian industries.
