We are a lively law firm located in the western suburbs; practicing several areas of law that meets the needs of our surrounding communities. We are rapidly growing in our industry and our office experiences a high volume of incoming phone calls and web submissions daily.
We are seeking:A full-time Client Intake Sales and Service Specialist to join our existing team of diverse individuals. We are seeking someone who is professional, outgoing, and personable. You should enjoy working with a team of people and be punctual and reliable. Time management and the ability to multitask are a must. Must be organized, quick to learn, and adept at maintaining the utmost balance of efficiency and courtesy in client relations.
You should be OK with talking to potential clients and other legal inquiries on the phone most of the day. Some of these callers may be rude and impatient. Others will have very serious legal issues. Empathy, understanding, and patience goes a long way in this role.
Experience with in the service industry, sales, a professional office environment, legal office, and/or other high-volume office experience is a must. Callers can sometimes be frustrated, hard of hearing, upset about their legal matter, emotional about their situation, or rude. You should be comfortable showing empathy in these situations but also maintain a professional demeanor to instill confidence.
Job Duties:
- Screen incoming communications to the law firm
- Review and record potential clients' claims by phone and email
- Schedule appointments between potential clients and legal staff
- Provide a professional representation both on the phone and in person for our firm
- Send attorney retention agreements to potential clients
- Open new client matters
- Follow up on potential client communication
- Daily positional and department reporting
- Continuous training and commitment to improving your client intake processing and communication skills
- Perform cross-department duties that may include billing tasks, supply re-stocking, and other assorted tasks
- Proficiency using Microsoft Office Suite, specifically including, but not limited to, Outlook, Teams, Excel, Word, and Share Point
- Proficiency using a computer and excellent typing skills
- Proficiency using a multi-line phone system
- Strong listening and interviewing skills
- Manage high call volume
- Ability to work quickly and efficiently in a fast-paced environment

- 10 days PTO, 5 days sick pay, certain holidays, and one floating holiday (accrual begins after 1 month)

- Hours:
Our office is staffed 8:30 a.m.
- 6 p.m. Monday through Friday. Your schedule will be a recurring 8-hour block during that window, to be discussed during the initial phone interview. - Applicants must include a current resume.
