The Golf Maintenance Administrative Assistant is a key support role within the Golf Course Maintenance Department, responsible for ensuring smooth daily operations through accurate administration, efficient communication, and strong organizational support. In this role, you will manage scheduling, documentation, inventory tracking, communication flow, and departmental coordination. You will work closely with the Golf Maintenance and Landscaping teams to help maintain exceptional golf course conditions and a seamless guest experience.
WhatYou Will Do
- Assist with daily administrative operations including scheduling, payroll submissions, and attendance tracking for the maintenance team.
- Organize and maintain departmental records, including equipment logs, chemical inventories, safety documents, and work orders.
- Support purchasing activities by preparing requisitions, tracking deliveries, and monitoring inventory of supplies and materials.
- Coordinate communication between Golf Maintenance, Golf Operations, Landscaping, and other departments.
- Prepare daily work boards, crew assignments, and project update documents as directed by leadership.
- Assist with onboarding tasks for new hires, including paperwork, uniform issuance, and orientation scheduling.
- Help maintain compliance with safety protocols and environmental regulations through updated documentation and reporting.
- Answer calls, emails, and internal requests with professionalism and timely follow‑up.
- Assist with budget tracking, invoice processing, and vendor communication.
- Support special projects, tournaments, and events by coordinating logistics and preparing materials.
- Previous administrative, clerical, or office support experience preferred; experience in golf, landscaping, or maintenance environments a plus.
- Strong organizational and time management skills with a keen attention to detail.
- Excellent communication skills and a friendly, professional demeanor.
- Computer proficiency; experience with Microsoft Office, scheduling tools, or maintenance software is beneficial.
- Ability to multitask and work efficiently in a busy, fast‑paced environment.
- Comfort working around outdoor maintenance teams, equipment, and varying schedules.
