Job Summary

The Onboarding Specialist provides support to the talent team, by handling daily and essential administrative recruiting tasks to support the full recruitment lifecycle. The Onboarding Specialist serves as an integral partner with candidates, recruiters, hiring managers and other partners to help on-board candidates. The Onboarding Specialist is vital to ensure new team members are given a WOW experience when starting with the NCH Comprehensive Health.

The Onboarding Specialist collaborates with the Recruiters and HRIS Specialist team members on system processes and reporting.

Essential Duties And Responsibilities
  • Serves as a liaison with internal and external candidate on matters relating to onboarding activities.
  • Effectively communicates the onboarding process to the new hire so they have a clear understanding of the on-boarding process.
  • Prepares and sends out new hire on-boarding modules containing required payroll forms, W-2, I-9’s and other company forms needed for employment. Schedules and communicates Occupational Health appointments for new hires.
  • Enters all new hire and transfer data into Kronos with optimal accuracy. When entering data, brings any discrepancies in new hire and transfer paperwork to the attention of P&C Leadership.
  • Prepares transfer letters, job descriptions, badge requests and Orientation schedules as required for Employee Transfers.
  • Prepares and sends out the orientation schedule to the new hire/transfer employees and Manager/Directors.
  • Coordinates the scheduling of all new hires at the Employee Medical Center and assists with any paperwork needed prior to the appointment to ensure a seamless onboarding for new hires.
  • Attends all new Employee Orientations to assist with setup, check-in, and welcomes new employees with a customer service-oriented approach, creating excitement and a welcoming environment for new employees to start their career at NCH.
  • Assists in verifying reference/background screening checks on applicants who are pending offers of employment.
  • Acts as a resource for new employee’s general questions.
  • Assists with special projects as needed.
  • Maintains Procedures Manual for this role ensuring all processes and procedures are current and up to date including information on the Intranet.
  • Collaborates with, is cross trained in, and performs basic job duties of other P&C staff.
  • Serves as a People and Culture professional and can assist customers in all basic P&C functions.
  • Provides backup to other P&C positions as appropriate and needed.
Education, Experience And Qualifications
  • Minimum of High School or GED required. Associate degree preferred.
  • At least one year of previous work experience in Human Resources, Healthcare, data entry or other administrative capacity required.
  • Requires a sound working knowledge of statistical concepts and data collection procedures.
  • Strong understanding of HRIS and Payroll systems; preferably Kronos.
  • Must be able to prepare and analyze reports and presentations and present ideas clearly and concisely, both orally and in writing.
  • Strong attention to detail, accuracy, and the analytical ability to solve problems and issues.
  • High level of proficiency with Windows, MS Word, MS Excel, MS Outlook required.
  • Strong analytical, organizational skills and communication skills required.
  • Self-motivated to be organized, achieve high performance standards, and accept accountability for performance.
  • Experience balancing a dynamic workload with constantly changing priorities, deadlines, and project scopes.
  • Intermediate computer knowledge:
    Uses Microsoft Word, Excel, Outlook, and Windows.
