Accounts Payable Coordinator - Empire Distributors, Inc.

Base pay range: $18.50/yr - $18.50/yr (actual pay based on skills and experience).

Responsibilities
  • Enter and pay all expense vendor payable invoices.
  • Match receipts to invoices and input supplier invoices and credits into Accounts Payable for payments and filing.
  • Monitor and revise all General Ledger coding of approved invoices in accordance with budget prior to posting.
  • Prepare weekly check proposal, receive required approvals, and submit electronic file to bank for processing, printing, and distribution.
  • Manage checks sent to Empire by the bank and distribute them as required.
  • Issue and distribute manual checks as needed.
  • Prepare all excise tax reports and checks on a monthly basis, and other mandatory state reporting.
  • Conduct monthly General Ledger account reconciliations for goods and tax accruals.
  • Respond to suppliers’ payment inquiries.
  • Organize and maintain tax records.
  • Obtain and maintain vendor W-9s.
  • Set up new vendors and maintain vendor files.
  • Run daily payables report.
  • Research payables questions for the corporate office.
  • Process state of North Carolina tax forms as needed.
  • Backup for the Accounts Payable Tax Coordinator.
  • File documents as required.
  • Assist in audit process.
  • Research and update all payables for North Carolina on a daily, monthly, and year‑end basis.
  • Work weekend reconciliation (every 4th weekend, up to 2 days) as directed by management.
  • Work with and around all products that may be ordered by customers.
  • Perform other duties as assigned by the Manager.
Education and Experience
  • Associate degree from a two‑year college or technical school, or equivalent combination of education and experience.
  • Six months to one year of related experience and/or training is acceptable.
Computer Skills

Proficiency with accounting software, database software, inventory software, order processing systems, spreadsheet software, and word processing software. SAP experience preferred.
