Assistant to the Vice President for Enrollment Services
Belmont University is accepting applications for the Assistant to the Vice President for Enrollment Services role. This position provides comprehensive administrative support to the Vice President for Enrollment Services and the office of admissions.
Employment TypeFull‑time, Exempt Staff (37.5 hours per week)
Primary Duties and Responsibilities- Reconcile division budget, including invoice payment, tracking all budgetary expenses, setting up new vendors in BPS, submitting monthly purchasing card reports, deposits, journal entries, and other budgetary tasks with necessary communication. Manage all transactions for the Admissions team, including approving travel expense reimbursements.
- Manage the VP’s calendar, schedule meetings, coordinate events (space, catering, budgeting, etc.), originate and manage meeting agendas, develop surveys, handle email communications, answer incoming calls, and provide general support to the VP.
- Track and submit monthly payroll leave for the Enrollment Division, entering leave time into Banner and communicating regularly with colleagues and campus constituents regarding leave balances and data.
- Enter prospect data into Slate derived from counselor travel contact cards and spreadsheets derived from Strive Scan and other college fair experiences.
- Manage office supply and literature inventory as the designated purchaser for Admissions, purchasing items such as office supplies, paper products, new employee name tags, business cards, plaque inserts, and office keys; also order sympathy flowers for colleagues when needed.
- Handle various office management tasks, including onboarding details for new colleagues, travel arrangements, HR tasks (PAFs, exit forms, etc.), technology management of department printers and leased machines, submitting work orders to Facilities Management, managing the professional development team board and library, and hiring, training and managing Federal Work Study eligible student workers.
- Other duties as assigned.

High School Diploma or GED; bachelor’s degree preferred.
Required Experience1–3 years experience in administrative and customer service.
