The School of Nursing (SON) department within Development and Alumni Relations is hiring for a Development Coordinator (VTS) who will be responsible for providing support to the SON team. Additionally, this role will also provide support for the Associate Dean of Development, College of Connected Computing. This temporary role is expected to last at least 3 months, at 40 hours per week.

The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation, and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University’s teaching and research programs. Key Functions and Expected Performance:

  • Acts in a support role for the Associate Deans in the execution of operational activities.
  • Serve as the first contact for the Associate Deans.
  • Attends and participates in routine meetings, document meeting notes, and assist with next steps as needed.
  • Enter activity reports and maintain updated opportunities in database.
  • Meet regularly with team members, providing agenda items for upcoming meetings and project reminders.
  • Assist with the creation and distribution of timelines to ensure all briefing materials are submitted to leadership on a timely basis.
  • Assists with compiling and organizing materials for meetings.
  • Works closely with the team to supply information needed.
  • Deliver timely reminders concerning deadlines.
  • Manage busy and shifting calendars, including scheduling meetings while maintaining a tracking system, handling all logistics, including communications with staff, planning and distribution of agenda, and conference room set up.
  • Responsible for coordinating travel arrangements, including all logistics, briefing materials, and itineraries.
  • Manage reimbursements through the Concur travel system.
  • Procurement of services, supplies, and equipment, according to University Purchasing policies and guidelines.
  • Assure quality, consistency, and effectiveness of all communications.
  • Review briefing materials to ensure accuracy and quality.
  • Research and provide data from donor management system as needed.
  • Collaborate with and support team members on projects/initiatives.
  • Assist with communicating travel plans, anticipated events, and objectives to team members.
  • Support team members in their identification of requests.
  • Prioritize multiple tasks/projects according to organizational demands.
  • Establish regular communication flow.
  • Maintain an in-depth understanding, interpretation, and applicability of university policies and procedures.
  • Perform tasks and other duties as assigned.

Supervisory Relationships:

  • This position reports administratively and functionally to the Associate Dean of Development and Alumni Relations, School of Nursing.

Work Environment:

  • Hybrid role based in Nashville – in the office approximately 1 day per week depending on business needs.

Requirements:

  • High School degree, or the equivalent, is necessary.
  • Bachelor’s degree is preferred.
  • One year of relevant experience is preferred.
  • Ability to use current computer technology, including Microsoft Word, Excel, and PowerPoint;
  • Good organizational skills, verbal and written communication skills, and attention to detail are required.
  • Confidentiality and discretion are a must.
  • Must have a professional attitude, and exhibit considerable tact, persuasion, and judgement in interactions with internal and external constituents.
  • Highly motivated, professional team player with courteous interpersonal skills and an excellent customer service attitude.
  • Capacity to perform in an intellectually rigorous and complex academic environment.
  • Ability to apply sound judgement in all situations is required.
