Primary Duties and Responsibilities:
- The College of Music and Performing Arts (CMPA) seeks a collaborative, experienced individual with communication and organizational skills. The individual provides direct administrative support to the Dean and college for planning, operations, and processes along with external outreach and strategic initiatives in the College of Music and Performing Arts.
- The individual acts as the primary organizer and communicator of all college meetings related to planning and operations. Organizes and manages annual faculty related processes, college policies and procedure and purchasing in the Dean’s Office. The position also facilitates external relations with internal and external advisory boards.
- Communicate, organize, and schedule meetings related to the Dean Office. This would include annual, monthly, and weekly retreats and meetings as well as strategic planning, advisory and external group meetings.
- Prepare meeting materials and resources and work to capture meeting notes when appropriate.
- Collaborate with other CMPA staff, faculty, and leadership.
- Manage updating and access of all CMPA policies and handbooks.
- Organize and manage documentation and annual reporting of strategic planning accreditation and assessment.
- Develop important internal deadlines based on academic, performance and event calendars.
- Organize processes for Annual Review;
Tenure, Leave and Promotion and maintain faculty personnel files and documentation. - Support the recruiting and hiring of faculty and staff.
- Manage Office of the Dean’s budget.
- Assist in outreach and donor stewardship initiatives to cultivate and support relationships with external partners. This would include serving as liaison to Friends of the Arts Board and support events/meeting planning for the board.
- Serve as liaison to the Development Office and external partners.
- Engage in staff development opportunities.
- Contribute and participate in continuous improvement efforts.
Required Qualifications:

- Extensive knowledge of principles and procedures in administration, office management, operations, accounting, and customer service.
- Broad knowledge of university and college structure, processes, and procedures.
- Computer literate and proficient in current software office systems, including word processing, spreadsheets, e‑mail, and internet usage.
- Highly developed interpersonal skills, team player, and ability to work well at all levels.
- Strong organizational, administrative, planning, and problem‑solving abilities.
- Ability to efficiently handle multiple projects with continuously changing priorities.
- Excellent verbal and written communication skills.
- Proven ability to build excellence through human productivity and organizational effectiveness.
- Ability to view the broad scope as well as effectively handle minute details.
- Ability to maintain confidentiality of sensitive information.
Required
Education:
Bachelor’s Degree and a minimum of two years of related work experience in communications, business, or multi‑faceted program operations. Preferred:
Bachelor’s Degree with four years of related work experience.
