Job Description

The Front Office Coordinator is the first point of contact for patients and plays a critical role in daily front desk operations. This position supports patient flow by handling registration, scheduling, insurance verification, phone coverage, and payment collection while ensuring accuracy, confidentiality, and a positive patient experience.

Key Responsibilities
  • Greet and assist patients in a friendly, professional manner
  • Register patients and maintain accurate demographic and insurance information
  • Schedule, confirm, and update appointments; monitor schedules for changes
  • Answer and route incoming phone calls promptly
  • Collect co‑pays and outstanding balances and process payments
  • Prepare and maintain patient records within the EHR system
  • Assist with patient check‑out and schedule follow‑up visits
  • Process forms, documentation, and medical record requests
  • Support daily charge and payment posting and basic reporting
  • Maintain office supply inventory and assist with administrative tasks
  • Adhere to HIPAA guidelines and office policies
  • Collaborate with team members to support smooth office operations
Qualifications
  • High school diploma or equivalent
  • Prior healthcare or front desk experience preferred
  • Strong customer service and communication skills
  • Ability to multitask and stay organized in a fast‑paced environment
  • Comfort using computers, phones, and standard office equipment
  • Professional demeanor and commitment to confidentiality
Additional Details
  • Schedule:

    Monday‑Friday, 8:30 AM–5:00 PM (occasional closing shift until 6:30 PM)
  • Includes two weekend shifts per month – only 2½ hour shift on those days
  • Fast‑paced environment with frequent patient interaction
