About the Role

The Bid Manager is the engine behind the proposal process—driving execution, keeping momentum, ensuring all parts stay aligned from kickoff through submission. This role owns the proposal timeline, manages resources and task flow, steering cross‑functional collaboration to meet deadlines with precision.

Bid Managers partner closely with Proposal Writers to craft client‑focused narratives. Together they combine structure and storytelling to produce compliant, strategic, and compelling proposals.

Success in this role requires managing multiple proposals at once—often at different stages—while staying organized, curious, and adaptable. The Bid Manager must comfortably learn the industry, ask questions, fill gaps, and push work forward independently.

While coordination and communication are primary, the Manager can occasionally lead a full proposal effort during peak loads, allowing the team to scale effectively and share ownership across proposals.

This is a full‑time, permanent position with flexible hours Monday‑Friday. The role is remote but may travel when needed.

Role Responsibilities

Project & Workflow Management
  • Develop and maintain the overall proposal project plan, timelines, and deliverables.
  • Coordinate kick‑off meetings, strategy sessions, reviews, and QC checkpoints.
  • Track proposal pipeline, submission status, win/loss feedback, and reporting metrics.
  • Manage multiple concurrent bids, each with its own timelines, requirements, stakeholders.
  • May independently manage a full proposal lifecycle when needed to support bandwidth.
Process & Compliance Oversight
  • Use proposal tools and automation systems (RFP software, AI content tools).
  • Maintain version control and brand compliance for deliverables.
  • Ensure RFP requirements and compliance matrices are captured and met.
  • Monitor adherence to process, document standards, and timelines.
Team & Stakeholder Coordination
  • Distribute proposals, templates to SMEs and support content development when needed.
  • Collaborate closely with Proposal Writers to obtain timelines, context, inputs, and SME insights.
  • Act as central point of contact for scheduling and coordination.
  • Support writers with early‑stage reviews for compliance and strategic positioning.
Communication & Information Flow
  • Review past proposals, client background, competitor positioning to provide insights for strategic drafts.
  • Take detailed organized notes during meetings and interviews, ensuring all action items captured.
  • Conduct SME interviews and gather technical data professionally and clearly.
  • Communicate clearly and concisely, especially in writing, to request content, confirm timelines, or raise issues.
  • Translate proposal status and needs into brief, effective leadership updates.
  • Provide early feedback on draft responses to ensure full, persuasive answer aligned with client needs.
  • Proactively seek clarity and context; comfortable asking questions and letting learning improve inputs.
Knowledge, Skills and Experience Requirements
  • Education & Experience
  • • Bachelor’s degree preferred; extensive formal experience may replace formal education.
  • • Minimum 5 years in proposals, 3 years managing full life cycles.
  • • Curiosity and commitment to learn complex industry.
Technical & Analytical Skills
  • • Proficiency in proposal tools and project platforms (SharePoint, Smart Sheet, Proposal systems).
  • • Strong organizational and prioritizing ability to handle multiple shifting parts.
