Job Title: Assistant Community Director

Department: Property Management

Reports To: Community Director

FLSA Status: Non-Exempt

Position Summary: Supports and assists the Community Director in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees and other payments, completing bank deposits, dispositions and account reconciliations, and using the property management system to record, track and report on all financial workings of the property.

Essential Duties and Responsibilities
  • Execute daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees and other payments, preparing daily bank deposits, and preparing financial reports.
  • Review and submit invoices from vendors, contractors and service providers for payment by reconciling work performed, obtaining community manager approval, coding charges to appropriate chart of account codes, and managing communication.
  • Enter approved bills into the property accounting system, scanning all invoices to the community’s data drive, and submitting to accounting for processing.
  • Review resident files and accounting records to determine unpaid or late fees, communicate with residents regarding outstanding balances, implement procedures for collecting on delinquencies, and enforce the lease to maximize revenue.
  • Follow the company’s established procedures related to evictions, including proper notice requirements, eviction execution, and representation of the property in court hearings and proceedings.
  • Process resident move‑outs by reviewing lease terms and notice requirements, applying deposit and lease cancellation fees, if applicable, and processing the disposition in accordance with established procedures and legal requirements.
  • Promote resident satisfaction and retention by responding to complaints, questions and requests in a timely manner, and taking appropriate action to resolve and address service issues.
  • Act as the on‑site supervisor in the absence of the Community Manager by organizing and delegating daily work difficult maintenance and make‑ready tasks, and managing community operation in compliance with company policies.
  • Assist in managing the client/owner relationship by meeting with owners, conducting property tours, providing updates about performance and responding to owner requests as needed.
  • Support leasing and marketing efforts in person to achieve the property’s revenue and occupancy goals, greeting prospective residents, gathering information via the guest card, showing units, closing leases and assisting with rental applications and credit verification.
  • Complete various accounting, financial, administrative and other reports, and perform other duties as assigned or necessary.
  • Meet predictable attendance, punctuality and physical demands of the position while complying with gallery residential’s policies and performance expectations.
Work Hours

The position is scheduled for 40 hours per week. Typical sites are open from 9:00 am to 6:00 pm Monday‑Friday, 10:00 am to dowamynda on Sunday…
