Position Overview

We are seeking a proactive and detail-oriented Facility Operations Lead to join our team. The Lead will play a crucial role in overseeing the operations and maintenance of our state-of-the-art R&D laboratory and general office space. The ideal candidate will have a strong background in facilities management, construction project oversight, personnel management, logistics, and maintenance scheduling.

Building Oversite
  • Ensure compliance with all health, safety, and environmental regulations.
  • Identity and resolve any building issues to ensure a clean, well‑maintained and healthy office and lab environment.
  • Manage night cleaning staff and cleaning company day porters to ensure high standards of cleanliness throughout the facility.
  • Oversee the cleaning of cubicles, end‑of‑run storage areas, aisles, and common areas to maintain a clean and organized work environment.
  • Supervise and coordinate all stocking activities for copy rooms, pantries, and the associate coffee program.
Building Maintenance Schedule Management
  • Develop and maintain a comprehensive maintenance schedule for all mechanical, electrical, and plumbing (MEP) systems in the building.
  • Coordinate routine maintenance tasks and inspections to minimize downtime and maximize equipment lifespan.
  • Collaborate with external vendors and contractors to schedule and oversee maintenance and repair work.
  • Develop and maintain vendor checklist to ensure quality control of service.
Building General Repair Requests
  • Manage and prioritize general repair requests from staff members, ensuring timely resolution and minimal disruption to operations.
  • Coordinate with maintenance staff or external vendors to address repair needs promptly.
Room Set‑Up Management
  • Receive requests, clarify requirements and schedule the room set‑ups for six large rooms with movable walls, ensuring seamless transitions between configurations and resetting the space.
  • Maintain inventory of room set‑up equipment and coordinate repairs or replacements as needed.
Budget Management
  • Maintain facility budget to ensure compliance for certain line items.
Systems and Team Accountability
  • Develop and implement a control mechanism for the consistent execution of Office Services responsibilities in compliance with current procedural guidelines.
  • Maintain connection with the team on daily activities and develop solutions as needed to address issues that arise.
Shipping, Receiving, Inventory and Distribution
  • Monitor loading dock activity to ensure no bottlenecks.
  • Monitor the overloading of any cubicles, offices, labs, or common areas.
  • Spot check inventory to ensure accuracy and up‑to‑date records.
  • Ensure inventory rooms are neat and clear of hazards.
  • Ensure teams are inputting metrics into the reporting system.
  • Identify additional areas that require oversight.
Requirements
  • Strong project management skills with a proven track record of overseeing team members and budgets.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with staff at all levels.
  • Proficiency in facilities management software and Microsoft Office suite.
  • Knowledge of OSHA regulations and other relevant safety standards.
  • Ability to work independently and prioritize tasks in a fast‑paced environment.
  • Ability to multitask.
  • Knowledge and general understanding of installation carpentry.
Salary and Other Compensation
