Position:Administrative Assistant
We are looking for an Administrative Assistant to provide comprehensive support to management and direct service providers within a region or corporate office. The role may also serve as the region or corporate office receptionist.
Responsibilities- Serve as Receptionist for the region; communicate with customers, employees, and other stakeholders to answer questions, disseminate or explain information, and address complaints.
- Open, sort, and distribute incoming correspondence, including faxes and email.
- Perform general office duties such as ordering supplies, maintaining records management systems, and basic bookkeeping.
- Operate and maintain office machines (photocopiers, scanners, facsimile machines, voice mail systems, PCs).
- Compile, copy, sort, and file records of office activities, business transactions, and other activities.
- Maintain and update filing, inventory, mailing, and database systems, manually or electronically.
- Compute, record, and proofread data and other information such as records or reports.
- Enter data, track, and produce reports as assigned.
- Assist Office Manager or Program Director in preparing agendas and making arrangements for new staff orientation and training, and other meetings.
- Assist in operating the information management system (Carelogic) for client records, enter data as requested, and produce reports as requested.
- If assigned to the corporate office, perform duties including data entry, producing reports, filing, supporting billing, following up on unpaid claims, auditing records and producing reports, assisting in set‑up of meetings and special events, running errands, and other tasks assigned to support administrative operations.
- Assist and participate in conducting client chart audits.
- Assist in conducting client, agency, and aftercare surveys as assigned.
- High school diploma (minimum).
- Associate’s degree in business or an administrative support field preferred.
- At least one year of work, internship, or volunteer experience in administrative/clerical work.
- Flexibility in scheduling and access to an Employee Assistance Program (EAP) that includes eight mental health counseling sessions annually.
